⚡ What is the Candidate Dashboard?

The Candidate Dashboard is a centralized space for managing all applicants to your job postings. Every submitted application appears here automatically, giving your team one place to review candidates, track progress, and take action throughout the hiring process.

From this dashboard, you can view candidate details, review resumes and attachments, update hiring statuses, send messages, and move applicants through each stage of your hiring workflow.

The dashboard is organized to reflect your hiring process, with built-in views that group candidates by stage (such as New, Under Review, Interviewed, and Hired). This makes it easy to quickly understand where each candidate stands and what actions are needed next.

Here are some common scenarios where the Candidate Dashboard can help streamline hiring and keep your team organized:

  • Managing High Volumes of Applicants: When multiple candidates apply across different roles, the dashboard gives you a centralized place to review, track, and manage all applications without switching between tools.
  • Using Filters to Focus Your Search: Filter candidates by job posting, status, source, application date, and more to quickly narrow down your list and find the most relevant applicants.
  • Collaborating Across Hiring Teams: Internal notes, labels, and consistent status updates help ensure everyone involved in hiring stays aligned and informed.
  • Taking Action Efficiently: Send messages, update statuses, or manage multiple candidates at once using bulk actions—saving time on repetitive tasks.

The Candidate Dashboard is part of our Applicant Tracking feature and is part of our HR Add-On. 

Who can manage the Candidate Dashboard?

  • Super Administrators: Full access to view and manage information under the Candidate Dashboard.
  • Team Administrators: Can access information from the Candidate Dashboard if they have permission to view and/or update Applicant Tracking – Position-Based: Job Applications. If you are unable to access, please confirm your permissions with a Super Administrator.

Navigating the Candidate Dashboard

Once a candidate submits an application to a published job posting, their information is automatically captured and added to the Candidate Dashboard as a profile. This includes their application details, resume, attachments, and any additional information submitted during the application process.

To access the Candidate Dashboard:

  1. Click the Applicant Tracking tab.
  2. From the left-hand navigation menu, select Candidate Dashboard. 

This page displays all candidates who have submitted applications for your active and past job postings.

Reviewing the Candidate List

Once you open the Candidate Dashboard, you’ll see a list of all applicants, along with tools at the top of the page to help you navigate and filter your view.

Each candidate appears as a row, with key details displayed across the page to support your hiring decisions. You can also use the checkboxes on the left side of each row to select one or more candidates for bulk actions.

 Dashboard Controls

The Candidate Dashboard includes built-in views that automatically organize your candidate list by hiring stage, giving you a quick starting point for reviewing applicants. From there, you can further adjust your view using available controls to focus on specific candidates based on your needs.

  • Hiring Stage Views: Pre-built view options that automatically organize candidates by stage (e.g., New, Under Review, Interview, Not Qualified, Hold, Offer Sent, Hired, Rejected, and All). These allow you to quickly focus on candidates at specific points in your hiring process. 
  • Filters: Apply additional filters to narrow your list by criteria such as job posting, status, labels, source, and more. For a full breakdown of available filters, see the Filtering section below. 
  • Results Per Page: Choose how many candidates are displayed at once (10, 20, or 30).

Candidate Details

The following columns in the Candidate Dashboard provide key information to help you review and manage applicants. You can also click on the column headers (such as Date Applied or Status) to sort the list in ascending or descending order.

Below is a breakdown of what each column represents:

  • Candidate: Displays the candidate’s first and last name, with their email address shown directly below. Click the candidate’s name to open their profile. For more details on what’s included, refer to our dedicated guide here
  • Applied To: Displays the role the candidate applied for. To change the position associated with a candidate profile, check out our dedicated guide here.
  • Date Applied: The date the application was submitted (formatted as year–month–day). 
  • Match Strength: An AI-generated score showing how closely the candidate matches the role, displayed as a percentage. 
    📌 | Note: This feature is currently in beta and may not be available to all customers. 
  • Status: The candidate’s current stage in the hiring process. Click the drop-down menu to update the status directly from this page as candidates progress through your hiring pipeline.
    💡 | Tip: Statuses can also be updated within the candidate profile, during actions like sending an offer letter, or through automations (e.g., automatically updating a status when a rejection email is sent).
  • Time in Status: The amount of time the candidate has remained in their current Status (e.g., minutes, days, months, or longer). 
    📌 | Note: When a status is updated, the Time in Status will reset based on the new stage. You can review a full history of status changes in the candidate’s profile.
  • Source: Where the application originated d (e.g., Company Careers Page, LinkedIn, Indeed, Referral). Some sources are applied automatically, while others can be updated manually using the drop-down menu.
  • Labels: Custom internal tags assigned within the candidate profile to help organize or prioritize applicants.
    💡 | Tip: These labels are useful for organizing applicants based on experience, qualifications, or internal notes (e.g., Top Candidate, Referral).

Managing Candidates in Bulk from the Candidates Dashboard

In addition to reviewing candidate information, you can take action throughout your hiring process both within individual candidate profiles and directly from the Candidate Dashboard. 

While candidate profiles allow for more detailed updates, the dashboard also provides bulk action options, making it easy to manage multiple applicants at once and keep your hiring process moving efficiently.

💡|  Tip: While this feature is designed for managing multiple candidates at once, you can also select just one candidate to take action without opening their profile.

Selecting Candidates for Bulk Actions

  1. To take action on multiple candidates at once, you’ll first need to select them from the Candidate Dashboard.
  2. Use the checkboxes on the left side of the candidate list and select one or more candidates.
    💡 | Tip: To select all candidates in your current view at once, click Select All — this includes candidates across all pages in the current view, not just those visible on the current page.
  3. Once candidates are selected, you can choose from the following bulk actions (Will not appear until candidates are selected): Updating Candidate Statuses, Deleting Candidates, and Messaging Candidates

Use this option to move multiple candidates to a new stage in your hiring pipeline at once. You can also add a note explaining the reason for the update, which will be automatically recorded in each candidate’s profile history.

  1. Once candidates are selected using the checkboxes on the left side of the candidate list, select Update Status. 
    💡| Tip: Even though this is a bulk action, you can update the status of a single candidate here—saving time instead of opening their profile.
    💡 | Tip: To select all candidates in your current view at once, click Select All — this includes candidates across all pages in the current view, not just those visible on the current page.
  2. A pop-up will appear, and from the drop-down menu, select the relevant Status from the list. 
  3. Under Reason (Optional), input a comment as to why you are changing the candidate's status.
    💡| Tip: Adding an internal comment helps your team understand why a status was updated and can be used to track next steps or decisions. These comments are saved in the candidate profile's Notes section.
  4. Once done, click Confirm

Bulk Delete Candidates:

Use this option to permanently remove one or more candidates from your account. This action is only recommended if you no longer need a record that the candidate applied for the role.

📌 Recommendation: Instead of deleting candidates, update their status (e.g., Rejected or create a custom Status titled Not Required ) to maintain a complete hiring history.

  1. Once candidates are selected using the checkboxes on the left side of the candidate list, select Delete. 
    💡| Tip: You can also delete a single candidate from this view by selecting only one, instead of navigating into their profile.
    💡 | Tip: To select all candidates in your current view at once, click Select All — this includes candidates across all pages in the current view, not just those visible on the current page.
  2. A pop-up will appear; select Cancel to stop the deletion or select Confirm to proceed. 
     ⚠️|  Warning: Deleted candidates cannot be recovered, and their application history will be lost. Proceed with caution. 

Bulk Messaging Candidates: 

Use this option to send an email to multiple candidates at once, quickly communicating updates without having to reach out to each applicant individually.

💡 | Tip: This is especially helpful when requesting availability for interviews, sharing next steps, or sending confirmation that applications are being reviewed.

  1. Once candidates are selected using the checkboxes on the left side of the candidate list, select Send Message
    💡| Tip: This option can also be used to message a single candidate, making it a quick alternative to sending messages from within the candidate profile.
    💡 | Tip: To select all candidates in your current view at once, click Select All — this includes candidates across all pages in the current view, not just those visible on the current page.
  2. Choose a message template or compose a new message.
    ⚠️ Important: Email attachments cannot be included in bulk messages. If attachments are required, open the individual candidate’s profile and send the message directly from there.
  3. Click Send to deliver your message to all selected candidates.

Filtering & Searching Candidate Dashboard

As your list of applicants grows, filtering becomes essential for staying organized and focusing on the right candidates at the right time.

While status-based views help you move through your hiring stages, filters allow you to go a step further, narrowing your list based on specific criteria like job posting, source, labels, or how long a candidate has been in a stage. This makes it easier to prioritize follow-ups, review candidates for a specific role, or analyze where your applicants are coming from.

Using Search

In the Candidate Dashboard, use the Search bar (on the right side) to quickly locate a specific candidate by entering keywords such as their name or the role they applied for.

💡 | Tip: Search is best used when you already know who you’re looking for. For broader sorting or grouping, use filters.

Using Filters

Filters give you more control over how your candidate list is displayed, allowing you to narrow results based on specific criteria. Instead of reviewing all applicants at once or for a specific hiring stage, you can focus on a targeted group. Such as candidates for a specific role, those from a particular source, or applicants who have been in a stage for a set period of time

💡 | Tip: You can combine multiple filters at once to narrow your results.

  1. In the Candidate Dashboard, click Filters on the right side.
  2. From the drop-down menu, you can filter candidates by the following:
    1. Status: Select one or more statuses to view candidates at specific stages in your hiring process. 
      💡 | Tip: Filtering by status helps identify candidates who may need to move to the next stage (e.g., scheduling interviews) or require follow-up (e.g., offer sent but awaiting response).
    2. Job Posting: Choose one or more job postings to view candidates who applied to specific roles. 
      💡 | Tip: This is especially useful when managing multiple open roles or hiring across departments.
    3. Source: Filter candidates by where they applied (e.g., LinkedIn, Indeed, Company Careers Page, Referral). 
      💡 | Tip: This can help track which sources are generating the most applicants. 
    4. Labels: Select internal labels (e.g., Top Candidate, Referral, 3+ Years Experience) to group and prioritize candidates. 
      💡 | Tip: Labels act as quick identifiers for candidates you want to follow up with or highlight. 
    5. Match Strength: If using the AI Match Score feature (beta), select from the available score ranges: Strong Match (85–100%), Good Match (60–84%), Weak Match (0–59%), Score Pending, and/or Not Scored 
      📌 | Note: This score is generated by evaluating how closely a candidate’s application details match the job posting requirements and may not be available to all customers.
    6. Time in Status: Enter the number of days and select Or More or Or Less to filter candidates based on how long they’ve been in their current stage (e.g. 45 days or more or 15 days or less).
      📌 | Note: This reflects the duration of the candidate’s current status. 
    7. Date Applied: Use the calendar pickers to filter candidates within a specific application date range from Start to End Date.
  3. Once done and ready to filter the list, select Apply.
  4. Once applied, the candidate list will automatically update based on the selected filters.
  5. If you wish to remove all applied filters, click Clear Filters in the Filters drop-down menu, or simply leave the page. 
    📌 | Note: Filters apply to your current view and will reset if you leave the page. If you plan to review multiple candidates, consider opening profiles in a new tab to keep your filtered list in place.

Q: When did the Candidate Dashboard change to include status-based views?
A: The Candidate Dashboard was updated in April 2026 to include built-in views by hiring stage, making it easier to navigate and manage candidates throughout the hiring process.

Q: Can I customize the status views?
A:  Status views are based on standard hiring stages and cannot be modified at this time. However, any custom statuses you create in ATS Settings will appear within their assigned hiring stage. 

For example, if you create a Phone Screening status and categorize it under the Interview stage, candidates with that status will appear in the Interview view.

Q: Why can’t I access the Candidate Dashboard?
A: You must be a Super Administrator or a Team Administrator with permission to view and/or update Applicant Tracking – Position-Based: Job Applications.

Q: I’m trying to give a Team Administrator access to the Candidate Dashboard, but I don’t see a permission with that name. What should I enable?
A: Access to the Candidate Dashboard is controlled through the Job Applications permission.

When assigning permissions, you can choose to grant: View access (to review candidates only), or Update access (to review and take action, such as updating statuses or managing applicants)

In addition to enabling this permission, you’ll also need to assign access to the relevant Positions listed under the Applicant Tracking permission. Team Administrators can only view and manage candidates for the positions they have access to.

Q: What does “Time in Status” mean?
A: Time in Status shows how long a candidate has remained in their current stage. This helps identify candidates who may need follow-up or have been in the same stage for an extended period.

For example, when a candidate first applies, they are automatically assigned a New status. If a candidate has been in the New stage for several days without review, this can be a good indicator that they may need review or a follow-up.

Q: Can I filter candidates by more than one option at a time?
A: Yes. You can combine multiple filters (such as job posting, status, source, and labels) to narrow down your candidate list and focus on specific groups.
