How To Use The E/D Uploader In Payroll

  • How to mass upload Earnings and Deduction entries for payroll

Process:

To Create the Earnings and Deductions File

  1. Click the Payroll tab.
  2. From the left-hand Navigation bar, select E/D Uploader.
  3. Under Action, click the drop-down menu and select Create Earnings and Deductions Excel.
    📌 | Note: If you are using your own self-created file, skip to the steps listed under To Upload the Earnings and Deductions File.

    ⚠️ | Warning: Self-created files must follow the exact column structure, naming, and format of a Push-generated Earnings and Deductions file. Files that do not match this structure will fail to upload or may create incorrect payroll entries. It is strongly recommended to use a Push-generated file as your template when building your own.
  4. Under Select Pay Run, click the drop-down menu and select the payrun to which you want this upload to apply.
    1. Recurring options: These follow your regular payroll schedule (e.g., Recurring Every Payrun/Cheque, Recurring 1st Pay Date of Month).
    2. Off runs (one time runs) or regular payroll scheduled pay runs: These are displayed with a specific end date (e.g., 2025-05-06 (Offrun) or 2025-06-09).Under Select E/D Presets, choose the preset types (earnings, deductions, benefits, balance adjustments) to include.
    3. Under Select E/D Presets, select the preset type(s) (e.g., earnings, deductions, benefits, or balance adjustments) to include in the spreadsheet.
      1. Leaving this blank will include all presets, but each adds three columns (dollar amount, hour amount, and optional date). Presets must be selected here and cannot be added later—unless using a self-created file.
    4. Under Departments, Positions, and Employees, choose which team members will be included in the spreadsheet.
      1. Leaving this blank will include all active employees. Selecting a department will auto-populate related positions and employees. Only those selected will appear in the spreadsheet; unselected employees cannot be added later unless they use a self-created file.
  5. Once done, click Submit and click Yes, do it! 
  6.  Open the spreadsheet from your device's downloads and enter the relevant details for each employee.
    ⚠️ | Warning: Do not change the format or structure of the file, as this will prevent it from being accepted. This file also acts as the required template for any self-created uploads. If you plan to build your own file, it must match this structure exactly.

To Upload the Earnings and Deductions File 

  1. Click the Payroll tab.
  2. Click E/D Uploader under the left hand Navigation bar.
  3. Under Action, select Upload Earnings and Deductions Excel.

    ⚠️ | Warning: Self-created files must follow the exact column structure, naming, and format of a Push-generated Earnings and Deductions file. Files that do not match this structure will fail to upload or may create incorrect payroll entries. It is strongly recommended to use a Push-generated file as your template when building your own.
  4. Under Upload, click the plus icon and select the appropriate file.
    1. If you are using a Push-created file, uncheck the box associated with Allow Self-Created E/D File Upload.
    2. If you are using a self-created file, check the box associated with Allow Self-Created E/D File Upload.
  5. Click Submit and click Yes, do it! to upload the spreadsheet details.
  6. The page will refresh to Earnings/Deductions, and you can review the entries created based on the spreadsheet details below! 

Additional Information

When entering information into the Earnings and Deductions Spreadsheet:

  • Please do not change the format of the csv.
  • Please do not change the title of the Excel sheet.
  • Please only add numbers into the cells (no symbols like $).
  • You may only add numbers with two decimal places (like 22.22).
  • There will be a row for each position (unless you have checked off Exclude Positions).

Earnings and Deductions File Options & Requirements

There are two ways to prepare your upload file: download a one-time spreadsheet directly from the platform, or upload a self-created file you maintain. The table below compares the two options so you can choose the best fit.

Spreadsheet Created in Platform Self-Created Spreadsheet
Generated based on your selections in the setup process (pay run, presets, departments, positions, employees). A file you build and maintain yourself. 
Can only be used one time for the pay period it was generated. Once uploaded, the system will not accept the same file again. If changes are needed, generate a new spreadsheet and copy the relevant entry data over. Can be reused across pay periods by updating values and renaming the file appropriately. ⚠️ To avoid duplicates, you must first delete any unwanted entries in the platform before re-uploading.
Best starting point for first-time uploads. Serves as the reference template for creating and validating your own self-created files. Recommended only for advanced users. The file must match the exact structure, column order, and formatting of a platform-generated spreadsheet. Always use a Push-generated file as your reference template.
File name is automatically correct.

Important:

For one-time E/D uploads, include the pay period end date in the file name using the format YYYY_MM_DD.

For recurring E/D uploads, use the Create Earnings and Deductions Excel option to generate the correct file name based on the recurring frequency.

Examples: 2025_08_09.csv (one-time E/D), every_cheque.csv (recurring E/D).

Rows are auto-generated for each position (unless Exclude Positions is selected). Employees with multiple positions will appear in multiple rows. You must ensure rows follow the same structure. Incorrect rows or formatting may cause upload issues.
Do not change the file format or worksheet title. Add only numeric values (up to two decimals, no $). Same restrictions apply—but you are responsible for ensuring compliance.

 

Important Notes When Entering Data

  • If an employee has two positions, they will appear in two rows. Be cautious when adding regular pay based on a salary rate.
  • To auto-calculate pay based on salary, enter the hours worked and leave the Amount column blank.
  • Once you have completed entering in the hours worked, remember to save the file as a .CSV file or else it will not be uploaded properly into Push.

Example:

Ross is a server ($10/hour) and host ($11/hour). You want to pay them 8 hours of regular pay for working as a server. In this case, you will leave their host row blank, and fill in their server row with 8 hours and leave the amount column blank.

The system will auto-calculate their pay based on the amount of hours you've entered x their rate.

 

After Uploading the Earnings and Deductions Spreadsheet

  •  
    • Your entries will appear on the Earnings and Deductions page, where you can edit or delete them as needed before payroll.
    • ⚠️ Important: Uploading a new file does not replace the entries from a previous upload. If you re-upload the same entries for the same pay period, you will create duplicates (double the hours and amounts).
      • Push-created files can only be uploaded once. The system will not accept the same file again after it has been used. If you need to make changes, generate a new spreadsheet and copy over the relevant entry data.
      •  Self-created spreadsheets can be reused, but to prevent duplication, you must delete any unwanted entries from the platform first.
    • If you no longer want certain entries to appear in payroll, you must delete them from the platform directly. You can delete them one by one or use the bulk delete option for faster cleanup.
    • If corrections are needed, delete the incorrect entries first, then upload a new file containing only the adjustments (or add them manually in the platform).

📌 | Note: Only Super Administrators and Team Administrators with permissions to the E/D Uploader will have access to the E/D Uploader. 

📌 | Note: The E/D Uploader permission allows Team Administrators to create and upload earnings and deductions via spreadsheet only. It does not grant access to the main Earnings and Deductions page or allow edits after upload. To modify entries after they’re created, additional Set Up Earnings and Deductions permissions are required.

⚠️ | Warning: Granting access to the E/D Uploader allows Team Administrators to select any earning or deduction preset when uploading data for payroll. This access is broader than the standard Earnings/Deductions permission, which can be limited to specific presets (for example, Retroactive Pay only). Review permissions carefully before enabling this access.
