A Guide to the Turnover Report

⚡ Purpose

The Turnover Report gives you a clear view of your hires, terminations, and termination reasons over a specific period of time. Rather than piecing this information together manually, the report brings it all into one place so you can quickly understand how your workforce is changing.

Think of the Turnover Report as a snapshot of your team's comings and goings. It shows you not just how many employees left, but why, and how that compares to your overall headcount.

🔎 Why use the Turnover Report?

Here are some common reasons teams run this report:

  • Track workforce changes over time: See exactly how many employees were hired and terminated within a chosen date range. 
  • Understand why employees are leaving: Review termination reasons to spot patterns, such as a high number of resignations tied to a specific cause. 
  • Measure turnover accurately: Use a standardized Turnover Rate calculation to compare periods consistently, rather than relying on raw headcounts alone. 
  • Support staffing decisions: Use hiring and termination trends by Position or Department to inform recruitment and retention planning.

The Turnover Report is available on the Signature and Supreme packages.

Who can access the Turnover Report?

  • Super Administrators: Have full access to view, access filter options, and generate the Turnover Report.
  • Team Administrators: Can generate the Turnover Report only if permission to Report Viewing Permissions: Turnover Report is granted.  If you are unable to access, please confirm your permissions with a Super Administrator.

Generating the Turnover Report

Before you can review hires, terminations, or termination reasons, you'll need to generate the Turnover Report for the time period you want to look at.

  1. Click the Reports tab. 
  2. Under Start Date and End Date, use the calendar picker to select the date range, or enter the dates you wish to review manually (e.g., YYYY, MM, DD).
    📌 | Note: The report will only include hires and terminations that fall within the date range you select.
  3. Once done, click Generate.
  4. The page will automatically load the report details!

Understanding the Turnover Rate Calculation

The Turnover Rate (%) is the key metric in this report, so it's helpful to understand how it's calculated before reviewing the rest of the data.

We calculate the Turnover Rate as the number of terminations divided by the average headcount over your selected time period. Average headcount is the average of the number of employees at the start and end of that period. It doesn't account for changes in employee count during the period itself.

For example, if you started with 20 employees on March 1 and finished with 30 employees on July 1, your average headcount would be 25. If 5 employees left during that time, your Turnover Rate would be 20% (5/25).

Formulas:

  • Average Head Count = (Number of Employees at Start Date + Number of Employees at End Date) / 2

  • Turnover Rate (%) = Terminations / Average Head Count.

Understanding the Turnover Report Details

Once generated, the report always includes a base set of columns: Last Name, First Name, Status, and Status Date, regardless of which filters you select under Options.

📌 | Note: The Status Date column, formatted YYYY-MM-DD, notes when the Employee Profile was last updated. If it shows "Unknown," the profile was created by the PUSH Data Team during your company's initial onboarding and hasn't changed since.

Each additional filter you check under Options adds its own column(s) to the report. 

  1. In the generated Turnover Report, you will see the following:

    1. Use Print or Export to Excel at the top of the report to save or share the results.
    2. Under Filters, click Show All to include new hires, currently working employees, and dismissed employees in the report, or Show Hired/Dismissed to narrow the report to only new hires and dismissed employees. The report is set to Show Hired/Dismissed by default.

    3. The following sections below are a breakdown of what the report shows and how to understand the information presented: 

Reviewing the Interactive Pie Charts

Gives you a quick visual breakdown of your terminated employees by the following: 

Chart What It Shows Colour-Coded Legend
Length of Service (left) The percentage of all terminated employees over the selected time period, broken down by their length of employment. Always shows the same six ranges: Less than 6 months, 6 months – 1 year, 1 – 3 years, 3 – 5 years, 5 – 10 years, and 10+ years.
Termination Reasons (right) Every termination reason assigned to an employee during deactivation is shown as a percentage of all terminated employees over the selected time period. Only lists the specific dismissal reasons actually assigned during the selected period (for example, Resigned-Back to School, Resigned-Other Opportunity, Dismissed-Theft, or Dismissed-End of Contract), so the options shown will vary depending on your data.

Hover over any segment of either pie chart to see the exact headcount for that segment (i.e., hovering over the "6 months – 1 year" segment might show a headcount of 3).

Click any item in a chart's legend to remove that segment from the pie chart. The legend item will appear with a strike-through. Click it again to add the segment back. This lets you focus on specific length-of-service ranges or termination reasons without them being included in the chart's percentages.

Reviewing the Turnover Rate

The Turnover Rate for your selected period lists all employees hired or terminated during that period.

The table will include the following information:

Field What It Shows
Name The employee's legal first and last name, as entered on their Employee Profile.
Date Hire The date entered in the Date of Hire field on the employee's profile. This is formatted as YYYY-MM-DD.
Date Dismissed The date the employee was terminated (deactivated), formatted as YYYY-MM-DD. Shows N/A if the employee was not dismissed, and was hired. 
Reason The dismissal reason code given to the employee by an admin during the deactivation process. Shows N/A if the employee was not dismissed, and was hired. 
Position The employee's most recent active Position at the time of hire or dismissal.
Duration The employee's length of employment, formatted as years and/or months (i.e., "3 years, 0 months" or "0 years, 6 months").
Status During Period Whether the employee was a New Hire or was Dismissed during the selected time period.
Last Clock Entry The date of the employee's last shift clock-in, formatted as YYYY-MM-DD.

📌 | Note: In rare cases, Reason may not show N/A for employees who were deactivated before dismissal reasons were introduced as a feature.

Reviewing Dismissed By Reason and Position

This table breaks down Dismissal Reason by Position, showing the headcount of employees in each Position associated with each dismissal reason, along with totals for each.

💡 | Tip: Use this table to spot whether certain dismissal reasons, like resignations or performance-related terminations, are concentrated in specific Positions.

Reviewing Hired By Position

At the bottom of the report, the Hired By Position table shows a breakdown of how many employees were hired into each Position during the selected time period, including a grand total.

Reviewing Employees With Invalid Employment Periods

If any employees in your account have missing or invalid start or end dates on file, they'll be listed separately in the Employees With Invalid Employment Periods table at the bottom of the report. It'll include the employees' first and last name, and the invalid start and end dates for their employment (e.g., 9999-12-31).

⚠️ | Warning: An invalid employment period may impair the Turnover Rate calculation for the dates affected. Review and correct the Start and End dates on the listed employee profiles to ensure your Turnover Rate is accurate.

Q: What if I don't see the Turnover Report in my account? 
A: The Turnover Report is available on the Signature and Supreme packages. If you're on one of these plans and still don't see it, please contact the PUSH Support Team, who can provide access to this report in your account. Note that this request must come from a Super Administrator. 


Q: What date range should I use when generating the Turnover Report? 
A: This depends on what you're trying to review. Many teams generate the report monthly, quarterly, or annually to track turnover trends over time. For more details on how the date range affects the calculation, refer to the Understanding the Turnover Rate Calculation section of this article.


Q: Why don't all terminated employees show a Last Clock Entry?
A Last Clock Entry only appears if the employee is clocking in and out of one of our PUSH time tracking apps. If an employee does not clock in/out for shifts (e.g., salaried employees often do not use our time tracking feature as they are paid yearly), this field will be blank.


Q: What's the difference between the Turnover Report and the Enterprise Turnover Report?
A: The Turnover Report gives you a single view of hires, terminations, and termination reasons at one company. The Enterprise Turnover Report is a great option for multi-locations. It offers additional filters, such as breakdowns by Company, Department, Tenure, Position, and Generation, and is only available to accounts with access to the Enterprise Dashboard. Q: Can Team Administrators access the Turnover Report?
A: Yes, if the Turnover Report permission has been enabled for them. For more details, refer to the Access Required section of this article.


Q: What does it mean if an employee shows up under Employees With Invalid Employment Periods?
A: It means that the employee's employment period on file is missing or invalid (e.g., 9999-12-31), which can throw off the Turnover Rate calculation for the affected dates. Update the employee's profile with the correct start and end dates to resolve it. For more details, refer to the Reviewing Employees With Invalid Employment Periods section of this article.
