A Guide to the Employee Information Report

⚡ Purpose

The Employee Information Report is a centralized, filterable view of employee details across your entire company account. Choose what information you want included from employment details, compensation, contact information, overtime structure, vacation setup and more. 

This report provides a snapshot of details in one place, instead of opening individual Employee Profiles one at a time.

📌 | Note: This report updates in real time; whatever is current in an employee's profile is reflected in the report at the time of generating, so it's available to run at any time or can be refreshed to see the latest details.

🔎 Why use the Employee Information Report?

Here are some common reasons teams run this report:

  • Review employee information in one place: Generate a consolidated report instead of opening individual employee profiles.
  • Support payroll and HR processes: Quickly review employment details, salary information, banking details, vacation settings, balances, or work permit information.
  • Validate employee setup: Confirm employees are assigned the correct positions, departments, employment statuses, and other profile information.
  • Export employee data: Download reports in Excel or CSV format for further filtering, analysis, or recordkeeping.

The Employee Information Report is available on all subscription plans.

📌 | Note: The report filter options will vary depending on your account’s subscription plan, any enabled add-ons, and location. 

Who can access the Employee Information Report?

  • Super Administrators: Have full access to view, access filter options, and generate the Employee Information Report.
  • Team Administrators: Can generate the Employee Information Report only if permission to Report Viewing Permissions: Employee Information is granted. Limited access to view and filter employee information options based on the permissions granted under Employee Setup (e.g. Employee Basic Info), along with permission to the relevant Employee Groups under: Update Employee Information, View Employee Information, and View Employee List. If you are unable to access, please confirm your permissions with a Super Administrator.

Generating the Employee Information Report

Before generating the report, it's worth scanning the filter table in the next section first if you're only after a few specific fields — the more boxes you check, the wider the report.

  1. Click the Reports tab. 
  2. Under Report Type, click the drop-down menu and select Employee Information.
  3. Under Options, check the box(es) from any of the following to build out your report:

    Filter Option What It Includes Notes
    Address The employee's street address, city, province/state, postal/zip code, and country, as recorded in their Employee Profile. Postal/Zip Code is the only required field of the group. If another part of the address is missing, that field simply wasn't filled in on the Employee Profile, and the report will show it blank.
    Age The employee's age, calculated from the date of birth recorded in their Employee Profile and shown as a whole number (e.g. 41 or 25). Displays "Unknown" if no date of birth is entered in the Employee Profile.
    Alt. Phone The employee's alternative phone number, as recorded in their Employee Profile. If this information is not recorded in the employee profile, the report will show it blank. 
    Balances (Leave Management)

    Whether the employee is assigned to a Leave Management policy — such as Vacation or Sick Time — as configured in their Employee Profile.

    If the employee is not assigned, the box will be blank

    This filter does not display balance amounts; it only shows whether the employee is assigned to the policy. 

    Only available on Signature with the Leave Management Add-On, or on the Supreme package
    Birthday The employee's date of birth, as recorded in their Employee Profile, is broken into four columns: Birthday Year, Birthday Month, Birthday Day, and a combined Birthday column formatted YYYY-MM-DD. Will be blank if no date of birth is entered in the Employee Profile.
    Clock ID The Clock ID assigned to the employee in their Employee Profile. Will be blank if no Clock ID is entered in the Employee Profile.
    Cost Center The Cost Center assigned directly to the employee's profile.  
    Department The Department tied to the employee's Primary Position.  If no Primary Position is set, the system defaults to the employee's most recently added active position. The Primary Position also determines the employee's Primary Department, Primary Salary, and Primary Salary Period.
    Email The employee's email address, as recorded in their Employee Profile. This is the email address the employee will use as their username for accessing their account. 
    Employee Number The identification number assigned to the employee's profile. Only available if your account uses the Employee Number feature. If you don't see this filter, reach out to the PUSH Support Team if you'd like it enabled.
    Employment Status The employment status assigned to each employee's profile (e.g. Regular - Full Time, Regular - Part Time, Regular - Intern/Other, or Contractor). Available only in US accounts. 
    Ethnicity The employee's ethnicity, as selected under EEO Reporting in their Employee Profile. Available only in US accounts. 
    Gender The employee's gender, as selected under EEO Reporting in their Employee Profile. Available only in US accounts. 
    Hire Date The date the employee first joined the company, as recorded in their Employee Profile. Formatted YYYY-MM-DD.
    Home Payroll Location The specific payroll location assigned to the employee's profile to understand which pay cycle they are part of. Only available for layered-location accounts using the multi-payroll cycle feature.
    Hours Structure The Hours Structure assigned to the employee's profile for overtime rules. Displays Company Default for employees on the standard structure, or the custom name given to the structure (e.g. No OT, Overtime After 10) for employees on a custom Hours Structure.
    Ineligible for Rehire Whether the employee is marked as ineligible for rehire in their Employee Profile (Yes/No). Only available for accounts with the HR Add-On, as it's tied to the Applicant Tracking System (ATS) feature. Set during an employee's deactivation or via the Employment Details section of their profile.
    Job Category The employee's job category, as selected under EEO Reporting in their Employee Profile. Available only in US accounts. 
    Job Start Date The date the employee first clocked in for a shift. This is auto-populated by the system rather than manually entered. Formatted YYYY-MM-DD.
    Last Clock Entry The date and time of the employee's most recent clock entry. Formatted YYYY-MM-DD.
    Last Worked The employee's last recorded clock entry. Formatted YYYY-MM-DD.
    Payment The employee's current payment method, as configured in their Employee Profile (e.g. Direct Deposit, Push Issued Cheque, or Company Issued Cheque). For employees on Direct Deposit, this includes sensitive banking details such as account number and routing/branch number — keep this in mind when sharing or exporting the report.
    Phone The employee's primary phone number, as recorded in their Employee Profile. If this information is not recorded in the employee profile, the report will show it blank. 
    Position Each position that has ever been assigned to the employee's profile. Employees with multiple positions appear as separate line items, one per position, for accurate position-specific reporting.
    Rehire Date The date the employee was rehired, as recorded in their Employee Profile, if applicable. Formatted YYYY-MM-DD. Blank if not applicable.
    SIN/SSN The employee's Social Insurance Number (CAD) or Social Security Number, (USA), as recorded in their Employee Profile. This includes sensitive details such as the full numerical sequence of the SIN/SSN  — keep this in mind when sharing or exporting the report.
    Salary The employee's salary or hourly wage history (e.g., amount, frequency, effective start and end dates), as recorded in their Employee Profile. By default, it shows all salary records so you can see an employee's salary progression over time. To show only current salary, use the Salary Filter: Current option at the top of the page.
    Statutory Holiday The employee's statutory holiday eligibility setting, as configured in their Employee Profile (Yes or No). Determines whether the platform automatically evaluates and pays statutory pays to hourly employees based on configured eligibility rules.
    Tax Determines whether the platform automatically evaluates the employee for statutory holiday pay based on configured eligibility rules. This will differ based on location. 
    Vacation The employee's core vacation pay configuration (e.g., vacation method and vacation rate) set in their Employee Profile.

    Displays 0% if the employee's vacation rate is actually configured at zero; otherwise shows the configured rate (e.g. 4%).

    Use this filter if the account does not use Leave Management to track time off, or if some employees still use the core vacation tracker. 

    Vacation Balance The employee's current vacation balance, as tracked in their Employee Profile. Use this filter to track the core vacation balance details. This does not display Leave Management balances. Please use this report if needed. 
    WCB Rate The Workers' Compensation Board (WCB) rate assigned to the employee's profile. Canada only.
  4. Under Attributes, check the boxes to include the employee's answers to any unique Employee Attributes (e.g., Uniform Size, Certificate Expiry Date), which are unique to your business. 
  5. Once done, click Generate.
  6. The page will automatically load the report details with the customized filters applied. 

Understanding the Employee Information Report

Once generated, the report always includes a base set of columns: Last Name, First Name, Status, and Status Date, regardless of which filters you select under Options.

📌 | Note: The Status Date column, formatted YYYY-MM-DD, notes when the Employee Profile was last updated. If it shows "Unknown," the profile was created by the PUSH Data Team during your company's initial onboarding and hasn't changed since.

Each additional filter you check under Options adds its own column(s) to the report. 

  1. In the generated Employee Information Report, you will see the following:

    1. You can change which employees are listed by their Active or Inactive status. It is automatically set to include All

    2. You can change how much salary information is displayed by choosing All or Current in the Salary filter. It is automatically set to include All

    3. You can change whether employees are displayed once or multiple times by selecting Employees Unique. It automatically displays employees multiple times by default. 

    4. Use Print or Export to Excel at the top of the report to save or share the results.

Frequently Asked Questions About the Employee Information Report

Have questions about generating or reviewing the Employee Information Report? Whether you're wondering why an employee shows up more than once, how a Primary Position is determined, or which filters apply to your plan, this section provides quick answers to help you with confidence.

Q: I own multiple locations — do I have to run this report separately for each one? 
A: No. If you manage multiple locations, you can generate an Enterprise-level Employee Information Report from the Enterprise Dashboard (requires the Supreme package) instead of running this report for each location individually.

Q: What's the difference between Hire Date and Job Start Date? 
A: Hire Date is the date entered in the employee's profile when they were hired. Job Start Date is auto-populated based on the date the employee actually first clocks in for a shift — these can differ if there's a gap between being hired and working a first shift, and a new Job Start Date is added each time an employee leaves and returns.


Q: Why does the same employee appear more than once in the report? 
A: This happens when the Position or Salary filter is selected, the employee's separate position or salary info is listed in its own row. This is to help organize the information. You can select "Employees Unique" at the top of the page to condense it.


Q: How is an employee's Primary Position determined? 
A: The Primary Position is based on the role marked as Primary in the employee’s profile under Salary Details. If no primary position is set there, the system will default to the employee’s most recently added active position. This helps ensure the report reflects the employee’s most current role when multiple active positions exist. The Primary Position also determines the employee’s Primary Department, Primary Salary, and Primary Salary Period. 


Q: Can I see an employee's full salary history, or just their current salary? 
A: By default, the Salary filter shows all salary records so you can review an employee's salary progression over time. To show only the current salary, set the Salary Filter at the top of the page to Current.


Q: Can I filter the report by employee status? A: Yes. You can filter by All, Active, or Inactive employees, and, for active employees, by All or Current salary records. For more details, refer to the Generating the Employee Information Report section of this article.


Q: Why don't I see all the filter options listed in this article? 
A: Filter availability depends on your subscription plan and enabled add-ons (e.g. Leave Management, the HR Add-On, or multi-payroll locations), as well as your permission scope as a Team Administrator. For more details, refer to the Access Required section of this article.
