How To Send A Published Schedule To Employees

Goal

  • How to notify employees of a change to the Scheduler 
  • How to email employees their scheduled shifts 

Environment:

  • Push Web App

Process:

Send the Scheduler to only Scheduled Employees: 

  1. Click the Scheduler tab 
  2. On the left hand side, click Weekly Schedule 
  3. Click Options and in the drop down menu select Email 
  4. Under Email List, click the drop down menu and select Scheduled Employees
  5. under Option select either: Display All Schedules or Display Individual Schedules,
  6. Under Option, if applicable select: Email Employees With no Scheduled Shifts or Show Employees Full Name 
  7. Under Recipients, this information will auto-populate based on the employees who have a published schedule 
  8. Under Notes, if applicable input a comment 
  9. Once done, click Send 

Send the Scheduler to specific Employees

  1. Click the Scheduler tab 
  2. On the left hand side, click Weekly Schedule 
  3. Click Options and in the drop down menu select Email 
  4. Under Email List, click the drop down menu and select Custom Recipients 
  5. Under Options, Display All Schedules will be automatically selected and if applicable select Show Employees Full Name 
  6. Under Recipients, click the White Box and input the specific email address(es)
  7. Once done, click Send

Additional Information

Once a Schedule is Published or there are any adjustments after it is published, employees do receive an email notification informing them that there are changes to their Push account. Employees are able to login to their Push account and can review the updated changes. 

You can also send the Published Schedule through the Push Messaging if you choose to do so. 

Please note, that only Super Administrators and Team Administrators with permissions to view/update/publish the schedule by Position will be able to send emails to employees through the Scheduler.

For example: 

  • If a FOH Team Admin publishes all FOH positions and chooses ALL, the employees will see ALL FOH shifts for the week. They will not see BOH, as the team admin does not have access to BOH.
  • If a Super Admin is emailing out a schedule, it will show all published positions. Therefore, if a Super Admin wants to only send out the FOH schedule, they should only publish FOH positions and not BOH, send it out, and then publish BOH positions after the email.
