The Vacation Request Detail Report gives you a single, company-wide view of all time-off requests within a chosen date range, rather than reviewing each request individually.
The report lists who requested time off, the dates requested, when the request was submitted, its current Status, and the Administrator who approved or rejected it.
📌 | Note: This report updates in real time; anytime a request is listed, it is based on the time of generating, so it's available to run at any time or can be refreshed to see the latest details.

Here are some common reasons teams run this report:
- Company-wide overview: Review time off requests across all employees at once, instead of checking each request individually.
- Stay on top of pending requests: Filter to requests still Pending Approval so none are left waiting for a decision.
- Clear decision history: See who approved or rejected each request, and why a request was rejected.
- Easy to share or keep on file: Print the report or export it to Excel for record-keeping or to share with your team.

The Vacation Request Detail Report is available on all subscription plans.
📌 | Note: The information shown in the report may vary depending on the features and add-ons your account uses. For example, the Details and Manager Notes columns are only filled in for requests made through Leave Management.
Who can access the Vacation Request Detail Report?
- Super Administrators: Have full access to view, filter, and generate the Vacation Request Detail Report.
- Team Administrators: Can generate the Vacation Request Detail Report only if permission to Report Viewing Permissions: Vacation Request Detail Report is granted. If you are unable to access, please confirm your permissions with a Super Administrator.
⚠️ | Important: This permission is all or nothing. Team Administrators granted access to this report can see time off requests for every employee in the company, and access cannot be limited to specific Positions or Employee Groups.

Generating the Vacation Request Detail Report
Time off requests can come in at any time and from anyone on your team, which makes it easy for a request to slip through the cracks or for upcoming time off to catch you by surprise.
Running the Vacation Request Detail Report regularly gives you a single place to check what's been requested, what's still pending a decision, and who will be away.
Before generating the report, think about what you're trying to review, as this will guide the date range you choose. For example:
- Planning upcoming schedules: Run the report for the next few weeks or the current month to see who has upcoming time off before you build your schedule.
- Catching outstanding requests: Run the report for the current month to find any requests still Pending Approval.
- Reviewing time off trends: Run the report for the last three months or the current year to see how often time off is being requested across your team.
- Click the Reports tab.
- Under Report Type, click the drop-down menu and select Vacation Request Detail Report.
- Under Start Date, enter the start of the date range you want to review (e.g., YYYY-MM-DD).
- Under End Date, enter the end of the date range you want to review.

Understanding the Vacation Request Detail Report
Once generated, the report shows you a table of all time-off requests for that period. Each row represents a single request, so an employee who submitted more than one request will appear on more than one row.
Reviewing the report carefully helps you keep time off decisions consistent, transparent, and easy to follow up on. As you review the results, here are a few things worth looking for:
- Requests still awaiting a decision: Requests marked Pending Approval haven't been reviewed yet. Employees can't plan around their time off until a decision is made, so it's worth following up on these first.
- Upcoming time off that affects coverage: Approved requests with upcoming Start and End dates indicate who will be away, so you can plan coverage in advance.
- Patterns in rejected requests: Manager Notes explain why requests were rejected. Reviewing them can help you spot whether requests are often rejected for the same reason, and whether your team needs clearer guidance on submitting time off.
- Last-minute requests: Comparing the Date Submitted to the Start date shows how much notice employees are giving before their time off.
Use the following options to narrow down or share the results:
- Click All, Approved, Pending Approval, or Rejected above the table to show only requests with that Status. The report shows All by default.
- Use Print or Export to Excel at the top of the report to save or share the results.
The table includes the following information:

| Start / End | The first and last day requested off, formatted as YYYY-MM-DD. |
| Days | The total number of days requested. |
| Comments | The comment the employee left when submitting the request. |
| Date Submitted | The date and time the request was submitted. |
| Details | The Leave Management policy associated with |the time off requested (e.g., Vacation Time or Unlimited Unpaid Time Off), followed by each date requested and the amount taken in days or hours. Only filled in for requests made through Leave Management |
| Status | Whether the request is Approved, Rejected, or Pending Approval. |
| Manager | The name of the Administrator who approved or rejected the request. Blank while the request is Pending Approval. |
| Manager Notes | The reason the Administrator gave for rejecting the request. Only filled in for requests made through Leave Management. The same note is sent to the employee by email or as a push notification in the Push Employee App. 📌 | Note: Manager Notes became available in October 2026. Requests rejected before then will show a blank Manager Notes column, even if they were made through Leave Management. |
