Note: This method of syncing clocks also applies for Silverware and Auphan.
Before clocks can be synced from Aloha to Push, we need to get the employees and positions synced first. We currently cannot automatically sync employee and position data from Aloha to Push, the Employee ID and Position Code need to be manually updated from Aloha to Push.
Here's how you can do this.
Navigate to Pos / Integrations page:
- Once you've logged into Push, click your name in the top right hand corner.
- When the dropdown menu opens, click "Company Setup"
- Once the page loads, on the left hand navigation bar, click Pos/Integrations
- From here, you will need to manually issue and sync a new clocks command. To see how that's done, please see: How To Manually Sync POS Commands.
If you are seeing a red circle next to the command, this means an error has been prompted.
Under the Errors heading, you will see a list that will display the employee number and position codes from Aloha that haven't been matched to a record of employee and position in Push. You will need to update the employee's number and position codes in Push in order to allow Aloha and Push to sync. The clocks will then be able to find their way to the correct employee-position in Push. Below is the list of 3 types of errors that you'll encounter and what to do in each case.
These are the 3 types of errors:
Missing COMPANY position code 20 (Bartender) for employee number xxx (Employee Name)
- This error means that the Aloha position is not matching any positions in Push. You will have to manually update Push's position code so that it matches the one in Aloha.
- To do so, go to the Employees tab.
- On left hand navigation bar, click on Employee Positions. Please note: if you don't see a Position Number column please contact support at support@pushoperations.com. Our team will need to enable the feature that can allow you to manually set the position number.
- To edit the position code, click on edit/pencil icon of the position row that you wish to update.
- For example, the position code for Bartender is 18 in Push. On the Errors list on the Pos / Integrations page, the position is stated as 20. Therefore, you will need to update the corresponding Bartender's Position Number in Push from 18 to 20.
- Once you have made the changes, click "Update Position" to save the changes.
Missing employee number xxx (Employee Name)
- This error means that the employee in Aloha is not matching any employees in Push. You will have to manually update the employee ID in Push to ensure that it matches.
- To do so, go to the Employees tab.
- Next, search for the employee name according to Employee Name from Aloha errors. Please note, there could be small discrepancy between their name in Aloha vs Push.
- If this employee exists in Push already, click the edit/pencil icon to edit the employee's profile.
- Once the page loads, scroll down to "Push Payroll Employee Login" and update the Clock ID with the employee number xxx from Aloha.
- If the employee does not have an existing Clock ID in Push, enter the employee number from Aloha as the Clock ID field in Push.
Missing position code 123 (Server) on employee number xxx (Employee Name)
- This means that the position and employee are setup, but the employee doesn't have that position assigned to them in Push.
- You will need to edit the Employee's profile and assign the proper position.
- To do so, go to the Employees tab.
- Next, search for the employee name according to Employee Name from Aloha errors. Please note, there could be small discrepancy between their name in Aloha vs Push.
- If this employee exists in Push already, click the edit/pencil icon to edit the employee's profile.
- Once the Employee's profile loads, click on Salary on left hand navigation bar.
- Next, you can click the edit/pencil icon to edit the position if it is incorrect or you can click the green "Add a New Position" button to assign this employee to a new or missing position.
- Once you have troubleshooted the errors, you can try manually syncing clocks again (detailed steps can be found here:How To Manually Sync POS Commands or click on Retry on your previous command.
