How To Perform A Salary Employee Vacation Payout

Goal

  • How to pay a salaried employee vacation time without regular pay 
  • How to payout vacation per request of the salaried employee 

Environment:

  • Push Web App

Process:

  1. Click the Payroll tab
  2. Click Earnings/Deductions on the left hand navigation bar
  3. Under the Preset dropdown menu, select Vacation Payout or Vacation Payout (Termination) if the employee is leaving the company
  4. Under the Frequency dropdown menu, select One Time
  5. For the Date, select the upcoming or future payroll run
  6. Next, select the name of the Employee
  7. Once you select the employee, the Vacation Balance field will auto-populate with their vacation balance
  8. You now have two options under the box Vacation Payout Details - Payment Method:
    1. Pay Specified: will pay out whatever amount you specify in the amount field
    2. Pay All: will pay out ALL of the vacation balance displayed as well as the vacation earned during the pay period the payout will apply to
  9. If you have other employees to add for the same preset, click Add Row
  10. Once complete, click Add Earnings/Deductions to submit the vacation payout

Additional Information

If you are performing a Vacation Payout for a salaried employee who is taking actual vacation days, please review whether the employee's regular pay requires a Proration to avoid overpayment. 

If the salaried employee requests a Vacation Payout before the next payroll, you can process an off-run

Please note that only Super Administrators or Team Administrators with permission to Run Payroll or Set up Earnings and Deductions: Vacation Payout can complete this process.

For users utilizing the Leave Management feature to track vacation time off requests, you are not required to add a vacation payout under Earnings and Deductions manually as stated in the above steps. Leave Management will create the Earning and Deduction entries to pay and/or adjust the employee's balance automatically based on the approval of the time off request.
