How To View A Record Of Employment (ROE) As An Employer

Environment:

Process:

From the ROE History section:

  1. Click the Employees tab.
  2. On the left-hand navigation bar, select ROE History.
  3. Under the Pending Record section, check the box that corresponds to Show Completed.
    1. Note that the Pending Record section will list any ROEs that have not been processed. This can take up to 5-7 business days after submission. 
  4. The section will update to Completed Records, and the list of processed ROEs will be available. 
  5. Scroll through the list, use the Submission Date header to sort ROEs, or enter a name in the Search box to find a specific employee.
  6. Once the employee is located, on the right-hand side under Forms, click the Clipboard icon to view/download/print the ROE.

From an Employee's History section:

  1. Click the Employees tab.
  2. On the left-hand navigation bar, select the appropriate Employee List: Active, On Leave, or Inactive.
  3. Under Edit, click the Person icon that corresponds with the employee.
  4. Under Employee Summary, scroll down to Record of Employment History.
  5. On the right side, under Form, click the Clipboard icon.
  6. A new page will open with a PDF of the ROE to view/download/print.

Additional Information

If the Status indicates Pending, that means that the ROE is currently being worked on as it can take up to 5-7 business days to be completed. If the Status indicates Completed but there is no Paper icon under Form, that means there is already a completed ROE issued or our ROE Team cannot gain ROE Web Access and is unable to complete the form. 

Once an ROE is completed, the employee will be able to download their ROE by logging into their Push account through a desktop. If the status indicates Complete, but there is no file attached, it's because the employee had no insurable hours/earnings since being added to Push. As the opening balance accounts for earnings prior to Push those have been reported on an ROE issued by the previous provider. 

Please note that only Super Administrators can view completed ROEs under ROE History. Team Administrators with permission to view/update Employee Information will only be able to view a completed ROE under View Employee History. 

When you view the Record of Employment section in the system for an employee, you’ll see a summary of the details submitted, along with a link to view the official document.

  • Submission Date: The date the ROE was submitted for processing. 
  • Reason: The code selected to explain why the ROE is being issued. Most often, this is because the employee’s employment has ended, and the code reflects the reason (for example, resigned, laid off, or contract ended). The list of available codes is set by Service Canada.
  • Comment: Any extra notes included at the time of ROE submission. This field can be left blank if no notes are needed.
  • Will Return: An internal note indicating whether the employee is expected to return to work in the future. This does not appear on the official ROE and is for record-keeping purposes only, usually based on conversations with the employee. Possible values are Yes, No, or Unknown.
  • Last Date Worked: The last day the employee was paid insurable earnings, which is often their final workday. If paid leave was provided after that day, the date may be later.
    Form: A link to open the official ROE in PDF format. This is the government-approved version that can be reviewed, downloaded, or printed. Selecting the Clipboard icon opens the PDF on a new page.
    • Note that the Clipboard icon may not be available if the ROE is still being processed, which can take 5–7 business days to complete.

  • Service Canada needs my ROE and I can’t get it.

  • The onboarding process currently lacks a critical step: securing ROE Web Access. Since this access is required to produce the PDFs needed for inactive employees, it should be a Day 1 setup item. Currently, users are left to troubleshoot this during time-sensitive terminations, which delays compliance.
