Question
- What happens if I change something under Scheduler Settings?
Environment:
- Push Web App
Answer
Under Scheduler Settings, certain information and features related to the Scheduler and Shift Approvals can be adjusted.
- Week Start Day: Adjust the Start Date in the Week on the Scheduler from Monday to Sunday (i.e. If Saturday is set, the Scheduler will show each week starting Saturdays and ending Fridays)
- Scheduler Start Hour: Set a time of day that will be the first time an employee works in a day; this will appear in the Daily View of the Scheduler (i.e. A business may open to customers at 9 am, but employees begin working at 6 am)
- Scheduler End Hour: Set a time of day that will be the last time an employee works in a day; this will appear in the Daily View of the Scheduler (i.e. A business may close to customers at 10 pm, but employees may be working until 12 am)
- Night Shift Start: Set a time of day that a night shift begins; based on this time, the Scheduler will display shifts in a different colour to distinguish what is considered a Day or Night shift (i.e. If 5 pm is set, any shifts before 5 pm will be a different shade compared to shifts after 5 pm)
- Time Off - Hours per Full Day: Input the total hours of what a full day is considered for time off (i.e. 8.00 hours)
- Time Off - Minimum Advance Notice (Days): Input the total days an employee has to request time off (i.e. 5 days = Employee must request time off for January 10th before January 5th)
- Minimum Shift Swap / Release Notice (Days): Input the total days an employee has to swap/release a shift (i.e. 0 days = Employee has until 1 minute before their scheduled shift to submit a request to swap/release a shift)
- Overhead Cost: Input a percentage (i.e. 15%) to pad/inflate your labour costs to ensure you are within budget when scheduling (Note that this will also impact data in any of the labour reports)
- Warn When Shifts Are Assigned Consecutively For: Input the number of days an employee should not be scheduled to work back-to-back (i.e. If 6 is inputted, an employee who has 6 shifts assigned, the Administrator will receive a pop-up message after adding the 6th shift)
- Show Employee Full Name: Will the Scheduler and Daily Schedule on the Push Employee app show the employee's first and last name (Note that preferred names will be displayed before legal names)
- Show Preset Labels: Will the Scheduler show the title of a Schedule Preset when a Shift is created
- Show Position Names: Will the Scheduler show an Employee's Position when a Shift is created
- Show Birthdays: Will the Scheduler show all Employee's Birthday under Events based on the information inputted in an Employee Profile
- Show Warning When Scheduling For Unavailable Employees: Will the Scheduler create a pop-up message when a shift is assigned to an unavailable employee (i.e. Employees who were approved for Time Off or a specific day due to Weekly Availability or a Custom Availability)
- Copy Schedules Outside Availability to House Shifts: Will the Scheduler copy Shifts assigned to employees that are outside of their availability as House Shifts (i.e. If enabled, when a Schedule is copied, and there are shifts associated with an employee that is not available in the new week [i.e. time off], the system will move those shifts to House Shifts to be adjusted accordingly or can be left for other employees to pick up)
- Calculate Salaried Rates As Hourly: Determine if salaried employees should be included under Labour Costs or Labour Scheduled [Profit Centers] instead of Fixed Cost when scheduled ] (i.e. If disabled, salaried employees data will not contribute to the total summary as fixed labour. If enabled, salaried employees' rate will be converted to hourly to contribute to the total of fixed labour)
- Enable Employee Shift Swaps and Releases: Can all employees submit requests to swap or release shifts with other employees (i.e. if disabled, employees will not have access)
- Active Employees Can Update Availability: Can all active employees request changes to their own availability through their account on a web browser and the Push Employee app (i.e. If disabled, employees will not have access to request changes to their Weekly Availability, submit Time Off Requests, or submit Custom Availability)
- Enable Employee Daily Schedules: Can all employees see when other employees are scheduled for the day in the Push Employee App: Daily Schedule (i.e. If disabled, employees can only see their own scheduled shifts [if published])
- Publishing Schedules Only Notifies Scheduled Employees: When a schedule is published, notifications will be sent either to only scheduled employees or to all employees. (i.e. If disabled, all employees—regardless of their schedule status—will receive an email notification once the schedule is available to view)
- Daily Scheduler Scale: When in the Daily View, will the Scheduler show in 30-minute or 60-minute increments
- Show Shift End Times: Will the Scheduler show the end times of shifts for administrators and employees (i.e. If disabled, only the start time of a shift will be displayed)
- Show Shift End Times (Position): Will the Scheduler show the end times of shifts for Administrators and employees for only specific Position(s) (i.e. Management Positions will be disabled [only show the start time of shifts], but all other Positions will be enabled [show both the start and end time of shifts])
- Exclude Salary Employees: Will the Scheduler list all employees or only those with an hourly rate (i.e. If enabled, salaried [Monthly, Biweekly, Weekly, Semi-Monthly, Yearly, or Daily] employees will not be listed as an option to be scheduled, regardless if they have a current Position)
- Show Clock Times on Employee View: Will employees see their clocked times associated with a shift in the Push Employee app(i.e. If disabled, employees will not be able to see their total hours worked)
- Deduct Breaks: Allow break times to be deducted from employees' shifts in the Scheduler
- Forecast Method: Select either Sales or Profit Centers
- Labour Guide Units: Select either Sales or Guest Counts
- Employee Work Days Available Per Week - Minimum: What is the minimum amount of days per week that an employee must be available to work when submitting their Weekly Availability (i.e. If 3 is set, an employee cannot select 0, 1, or 2 when inputting a value under # of Days to Work when submitting their availability, it must be greater than 3)
- Employee Work Days Available Per Week - Maximum: What is the maximum amount of days per week that an employee can be available to work when submitting their Weekly Availability (i.e. If 5 is set, an employee cannot select 6 or 7 when inputting a value under # of Days to Work when submitting their availability, it must be less than 5)
Within Scheduler Settings, there is also the option to set which Administrators will receive notifications relating to Shift Swaps, Shift Releases, Time Off, and Weekly Availability changes.
- Shift Approvals & Notifications: Notification Preferences: Enable which specific Super or Team Administrators will receive notifications as Email, SMS, or In-App Mobile (Push Manager App) notifications
