⚡ What are Pay Stubs?
A pay stub, sometimes called a paystub or pay slip, is the record PUSH creates for each employee every time payroll is processed. It shows the employee's earnings for the pay period, any deductions (such as taxes and benefits), and their net pay, which is the amount paid out to them.
As an administrator, you can view any employee's pay stubs and download them one at a time or a full payroll year at once. This is helpful at year-end, during audits, when an employee leaves, or when an employee asks for copies for a loan, mortgage, or immigration application.
🔐 Access required
Viewing and downloading employee pay stubs is available on all subscription plans with the Payroll Add-On.
Who can view and download employee pay stubs?
- Super Administrators: Full access to view and download pay stubs for any employee, including a full payroll year at once. Super Administrators are also the only role that can control whether employees can access their pay stubs in the Push Employee App.
- Team Administrators: Can view and download employee pay stubs, including a full payroll year at once, if the Run Payroll permission is enabled. If you are unable to access them, please confirm your permissions with a Super Administrator.
- Employees: Can view and download their own pay stubs both on the web and mobile app. Note that bulk downloading is exclusive to the web app. For more details, refer to the Accessing Your Pay Stubs as an Employee article.

Viewing and Downloading Employee Pay Stubs
PUSH creates a pay stub for each employee every time payroll is processed. Once a payroll is approved, you can view and download its pay stubs in three ways, depending on what you need:
- Payrun History is best for reviewing everyone who was paid in a specific payroll.
- Employee's profile is best for one person's pay stubs, whether you need a single pay stub or every pay stub from a payroll year at once.
📌 | Note: You may see a pay stub while a payroll is still pending, but its amounts can change until the payroll is approved. Only download or share pay stubs from approved payrolls.
💡 | Tip: Employees are notified when their new pay stub is ready, so they can view and download it themselves. Sharing the Accessing Your Pay Stubs article with your team can save you from handling individual requests.
Viewing Pay Stubs from Payrun History
The Payrun History is the best place to start when you're reviewing a specific payroll. It lets you view the pay stubs for all employees paid in that pay run on a single page. With the option to individually download specific pay stubs, if applicable.
- Click the Payroll tab.
- From the left-hand navigation bar, select Payrun History.
- Under Payroll History, navigate the list and, under the Pay Run Summary column, click Summary that corresponds to the relevant pay period.
- The Payroll Summary for the pay period will load. Click the name of any employee to jump to their pay stub, or scroll the page to find the employee.
- To download the employee's pay stub, click View PDF in the top-right corner. The PDF will open in a new browser tab, where you can download or print it!
Viewing and Downloading Pay Stubs from an Employee's Profile
An employee's profile is the best place to start when you need a single person's pay history across multiple pay periods. It shows every pay stub issued to that employee, organized by payroll year.
From the profile, you can open and download a single pay stub or bulk-download all pay stubs for a single payroll year at once. Downloading a full payroll year saves time when preparing for year-end or an audit, offboarding an employee, or responding to an employee's request for copies.
📌 | Note: Pay stubs are grouped by pay date, not pay period. For example, a pay period ending December 29, 2024, that was paid on January 3, 2025, is included in the 2025 download.
- Click the Employees tab.
- From the left-hand navigation bar, select the employee list: Active, Pending, On Leave, or Inactive.
- Under Search, enter the employee's name.
- Under Edit, click the person icon next to the employee. When hovering, it'll state View Employee History.
- The Employee Payroll Summary page will open. Scroll down to the Payroll History Summary section.
- Under Payroll Year, click the drop-down menu and select the year of the pay stub you need. It will default to the current year.
💡 | Tip: To see pay stubs from every year in one list, select All. - On the right side, check/uncheck the box labelled "Show Payrun Without Earnings," if applicable. This will filter out any pay periods where the employee received $0.
- Choose how you'd like to view and/or download:
-
To view or download a single pay stub: Locate the pay period you need, and on the right side under Paystub, click View. The pay stub will open as a PDF, which you can review, download, or print!
-
To download every pay stub for the year: Click Download all paystubs (PDF). A ZIP file, which is a single compressed folder, will download. Open it to access each pay stub as its own PDF, named by pay date (for example, 2025-06-30.First_Name.payrun.pdf), and you're done!
📌 | Note: The Download all paystubs (PDF) button only appears once a specific year is selected. It won't appear when All is selected, or when the selected year has no pay stubs.
💡 | Tip: Bulk downloads cover one employee and one payroll year at a time. To get two years of pay stubs, repeat these steps for each year.
-
To view or download a single pay stub: Locate the pay period you need, and on the right side under Paystub, click View. The pay stub will open as a PDF, which you can review, download, or print!
Enabling or Disabling Pay Stub Access in the Push Employee App
By default, employees can view and download their pay stubs on both the web app and the Push Employee App. Some businesses prefer to limit pay stub access to the web app, for example, if they distribute pay stubs through another internal process.
📌 | Note: Only Super Administrators can manage this toggle under Pay Stub Settings.
- In the top-right corner, click the Company name.
- In the drop-down menu, click Company Setup.
- In the menu on the left, click Pay Stub Settings.
- Check or uncheck the box for Show Pay Stubs on Employee Mobile App.
- Once done, click Update Pay Stub Settings, and the page will refresh and display a success message!
💡 | Tip: Pay Stub Settings also control what information appears on each pay stub, such as vacation balances or year-to-date hours. For more details, refer to the Managing Paystub Settings article.
Frequently Asked Questions About Employee Pay Stubs
Have questions about viewing or downloading employee pay stubs? Whether you're wondering how to download several employees at once, why a download button is missing, or what former employees can access, this section provides quick answers to help you manage pay stub requests with confidence.
Q: Can I download pay stubs for several employees at once?
A: You can utilize our bulk download option for each employee. If you need pay stubs for several employees, use the option that fits what you need:
👉 One pay period, all employees: Use the Payroll Register Report to get every employee's pay stub for a pay period in one PDF. F
👉 A full payroll year, several employees: Repeat the bulk download from each employee's profile, as outlined in the Viewing and Downloading Pay Stubs from an Employee's Profile section of this article.
Q: How do I download all employees' pay stubs for one pay period in a single PDF?
A: Use the Payroll Register Report, which combines every employee's pay stub for a pay period into one PDF. For step-by-step instructions, refer to our A Guide to the Payroll Register Report article.
Q: Can I bulk download a custom date range or more than one year at once?
A: Not at this time. Bulk downloads cover one full payroll year. To get two years of pay stubs, download each year separately.
Q: Why don't I see the Download all paystubs (PDF) button?
A: The bulk download is based on a single payroll year, so the button only appears once you select a specific year under Payroll Year. If Payroll Year is set to All, or you select a year for which the employee has no pay stubs, the bulk download option won't appear either. Employees can also bulk-download or individually download their pay stubs. For more details, refer to the Accessing Your Pay Stubs article.
Q: Why is a December pay stub included in the next year's download?
A: Pay stubs are grouped by pay date, not the pay period they cover. If a December pay period was paid in January, it's included with the January year.
Q: Can Active, Inactive, and On Leave employees all access their pay stubs?
A: Yes. Active, Inactive (former), and On Leave employees can view and download their pay stubs in the web app and the Push Employee App. Employees only lose access in two cases:
👉 Show Pay Stubs on Employee Mobile App is turned off: No employees can access pay stubs in the Push Employee App, but they can still access them on the web app. For more details, refer to the Enabling or Disabling Pay Stub Access in the Push Employee App section of this article.
👉 Your company's PUSH account has been cancelled: A Super Administrator will need to contact our Support team to request temporary access to the account.
Q: An employee doesn't have a desktop. How can they get a full payroll year of pay stubs?
A: Employees can download pay stubs one at a time in the Push Employee App, if pay stub access is turned on. Bulk downloading a full payroll year is only available on the web app, so an administrator can assist and share the ZIP file with them. For more details, refer to the Viewing and Downloading Pay Stubs from an Employee's Profile section of this article.
