Managing & Filtering the Job Dashboard

⚡ What is the Job Dashboard?

The Job Dashboard is a centralized space to manage all your Job Postings. Every Job Posting created by any administrator on your account appears here automatically, unless a Team Administrator's permissions limit which postings they can see. It gives your team one place to see each posting's status, when it was created, and how it's progressing, from total applicants to new and hired.

As your list of postings grows, the dashboard also lets you filter to the postings you care about, with quick links that take you straight to the Candidate Dashboard to review applicants for a particular role.

🔎 Why Use the Job Dashboard?

Here are some common reasons teams use the Job Dashboard:

  • Staying on top of multiple open roles: Track progress on every posting from a single view so nothing falls through the cracks.
  • Spotting roles that need attention: See applicant counts and statuses at a glance to catch postings that have gone quiet or stalled.
  • Getting to the right applicants faster: Jump from a posting straight to its applicants instead of searching for them separately.
  • Keeping a growing list under control: Filter to active or relevant postings instead of scrolling through every role you've ever created.

🔐 Access Required

The Job Dashboard is part of our Applicant Tracking feature, which is included with our HR Add-On.

Who can manage the Job Dashboard?

  • Super Administrators: Full access to view and manage information under the Job Dashboard. Also, full access to create, edit, duplicate, and delete Job Postings.
  • Team Administrators: Can access the Job Dashboard if the View, Update, and/or Create permissions are enabled under Applicant Tracking – Position-Based: Job Postings, and only for the Positions granted under Applicant Tracking Positions. Based on the permissions to Job Postings, this will also grant access to Current Openings for those positions. If you are unable to access, please confirm your permissions with a Super Administrator.

The Job Dashboard is where every role your company is hiring for lives, from the moment it's created until it's filled. Knowing what each part of the page shows, and what to do next for each posting, is all you need to keep your hiring on track.

To access the Job Dashboard:

  1. Click the Applicant Tracking tab.
  2. From the left-hand navigation menu, select Job Dashboard.

This page displays every Job Posting you have access to, including Draft, Published, Paused, Closed, and custom statuses.

Understanding the Job Posting List

Each Job Posting appears as a row, with the following details across the page:

💡 | Tip: We recommend reviewing your Job Posting statuses regularly, so candidates only see roles you're actively hiring for and closed roles aren't still accepting applications.

Field What It Shows Notes
Job Name The title of the Job Posting. Comes from the Title field when the posting is created, and is the name candidates see.
Location

The location the Job Posting is assigned to.

Comes from the Location field when the posting is created. Only shows for layered-location accounts. Single-location accounts won't see this column.

Region The location the posting is hiring for. Comes from the Region field when the posting is created, and is also shown to candidates when they apply.
Status The posting's current stage: Draft, Published, Paused, or Closed.

Helps you see at a glance which roles are open to candidates. Candidates can only see and apply to a posting once it's Published. Every account comes with standard statuses, and you can also create your own. Click the drop-down menu to change a posting's status.

💡 | Tip: To update several postings at once, see the Managing Job Postings in Bulk section below.

Total The total number of candidates who have ever applied to this posting. This is an all-time count and can't be filtered by date range.
New The number of candidates with the New status. These are applicants who haven't been reviewed yet.
Pipeline The number of candidates in an in-progress status. Groups together candidates who are moving through the hiring process, such as Under Review, Interview, or Offer Sent.
Hired The number of candidates who have been given the Hired status.
Date Created The date and time the posting was created.

📌 | Note: Clicking a number under Total, New, Pipeline, or Hired opens the Candidate Dashboard in a new browser tab, already filtered to those candidates. You can also click any column header to sort the list by that column, and click it again to reverse the order.

Searching & Filtering the Job Dashboard

As your list of postings grows, search and filters help you find the roles you're looking for without scrolling the entirety of the Job Dashboard.

In the Job Dashboard, use the Search bar to find a specific posting by entering keywords, such as its title.

💡 | Tip: Search is best used when you already know which posting you're looking for.  For broader sorting or grouping, use filters.

Using Filters

Filters give you more control over how your Job Dashboard list is displayed, allowing you to narrow results based on specific criteria. Instead of reviewing every posting you've ever created, you can focus on a targeted group, such as postings still in Draft, roles that are currently Published, or postings created within a specific date range.

  1. In the Job Dashboard, click Filter.
  2. From the drop-down menu, you can filter the job posting list by the following:
    1. Status: Select one or more statuses to view job postings at specific stages in your hiring process.
💡 | Tip: Filtering by Published is a quick way to confirm exactly which roles candidates can currently see.
    2. Created At: Click Select a Date in each box to set a start and end date with the calendar picker.
💡 | Tip: Filtering by created date range is helpful for reviewing roles created during a specific hiring season, finding older postings that may need to be closed, or checking how many roles you opened in a given month or quarter.
    3. Location: Click the drop-down menu and select a Location to view only the postings assigned to it.
📌 | Note: The Location filter is only available to layered-location accounts. Single-location accounts won't see this option.
  3. Once done and ready to filter the list, select Apply.
  4. Once applied, the job posting list will automatically update based on the selected filters.
  5. If you wish to remove all applied filters, click Clear Filters in the Filters drop-down menu, or the X icon associated with the relevant filter type.

Taking Action on a Job Posting

Each posting on the Job Dashboard has a row with a set of icons under Actions for working on one posting at a time. In the order they appear:

  • Pencil icon: Edit the Job Posting. Refer to this section here for a step-by-step guide.
  • Stacked paper icon: Duplicate the Job Posting. Refer to this section here for a step-by-step guide.
  • Three-person icon: View a filtered list of candidates who applied to this posting on the Candidate Dashboard. This is automatically filtered; to manually filter the Candidate Dashboard, see this article.
  • Person with a plus icon: Manually add a candidate applying to this posting, such as a walk-in or a reference. For a step-by-step, see this article.
  • Arrow icon: View the posting on your Current Openings page, as candidates see it. For more details, see here.
  • Garbage can icon: Delete the Job Posting. For more information, see this section here.

📌 | Note: To create a new posting, click Add New Job Posting at the top of the page. For step-by-step instructions, refer to the Creating a Job Posting section of our Managing Job Postings article.

Managing Job Postings in Bulk

In addition to updating postings one at a time, the Job Dashboard lets you update or delete several postings at once, for example, closing every seasonal role when the season ends.

💡 | Tip: While bulk actions are designed for several postings at once, you can also select just one posting.

Selecting Job Postings for Bulk Actions

  1. In the Job Dashboard, click the checkbox(es) next to each Job Posting you want to update.
💡 | Tip: To select every posting on the page, click the checkbox in the header row, next to Actions.
  2. A bar will appear above the list showing how many postings are selected (for example, 4 items selected), along with the available bulk actions: Update Statuses and Delete Postings.

Bulk Update Job Posting Statuses

Use this option to move several postings to a new status at once. Changing a posting to Paused or Closed stops new applications from being submitted, but keeps the posting and its candidates on record.

  1. Once postings are selected, you will see a message indicating how many were selected (e.g., 1 item selected).
  2. On the right side, click the Update Status drop-down menu and select the relevant status (e.g. Closed).
  3. Once a status is selected, a pop-up titled Updating X Job Postings Statuses will appear. Select Confirm to proceed or Cancel to go back a step.
  4. If Confirm is selected, the page will refresh, and the updated status will be assigned to the relevant job postings.

Bulk Delete Job Postings

Use this option to permanently remove one or more postings. This is best reserved for postings created by mistake that have no candidates tied to them.

We recommend keeping any Job Posting that has candidates tied to it; deleting the posting will not delete the candidates themselves, but it can be confusing down the line if you're trying to figure out what role a candidate applied for and it no longer exists. We also have a feature to transfer candidates to another position if applicable.

⚠️ | Warning: Deleted Job Postings cannot be undone or recovered. Instead of deleting, we recommend setting the posting's status to Closed or a custom status, and updating the Title to include something like "Do Not Use" or "Old," to ensure your team members do not accidentally republish it and keep it out of your active postings without losing the record.
  1. Once postings are selected, you will see a message indicating how many were selected (e.g., 1 item selected).
  2. On the right side, click Delete Postings.
  3. A pop-up titled Deleting X Job Postings will appear. Select Confirm to proceed or Cancel to go back a step.
  4. If Confirm is selected, the page will refresh, and the job posting will be permanently deleted and will no longer be listed in the Job Dashboard.

Frequently Asked Questions About the Job Dashboard

Have questions about using the Job Dashboard? Whether you're wondering who can see it, how to give a Team Administrator access, or what happens when you delete a posting, this section provides quick answers to help you manage your open roles with confidence.

Q: Why can't I see the Job Dashboard?
A: You must be a Super Administrator, or a Team Administrator with the View permission under Applicant Tracking – Position-Based: Job Postings. Team Administrators also only see postings for the Positions they have access to under Applicant Tracking Positions.

Q: How do I give a Team Administrator access to the Job Dashboard?
A: Only Super Administrators can update these permissions. Click your Company Name in the top right corner, select Company Setup, then click Administrators on the left. Click the pencil icon next to the Team Administrator, and under Applicant Tracking Positions, check each Position they should manage. Then, under Applicant Tracking – Position-Based, check View, Update, and/or Create for Job Postings, and click Update Administrator. To review what they'll see, click the eye icon next to their name.

Q: A Team Administrator has the Job Postings permission but still can't see a posting. Why?
A: Both parts of the permission are needed. Check that the posting's Position is selected under Applicant Tracking Positions for that Team Administrator.

Q: What happens to candidates if I delete a Job Posting?
A: The candidates stay in your account, but it can become unclear which role they applied for. We recommend changing the posting's status to Closed instead. For more details, refer to the section above.

Q: Where do I create or edit a Job Posting?
A: You have the ability to create and manage existing Job Postings from the Job Dashboard. For a step-by-step guide on creating and editing a job posting, see this article: Managing Job Postings.
