⚡ What are Job Postings?
Job Postings are how you build out and advertise the details of a role you're hiring for, things like the title, description, requirements, screening questions, and where the posting should be visible.
Rather than creating and updating the same posting separately across multiple platforms, you can create a Job Posting once in PUSH and have it appear everywhere it needs to. From job board integrations like LinkedIn and Indeed to your careers page to a shareable link (found under Current Openings). Any changes you make are automatically synced, so the information stays accurate and up to date no matter where it's being viewed.

🔎 Why Use Job Postings?
Here are some common reasons teams use Job Postings:
- Streamlining recruitment: Manage a role's description, requirements, and screening questions from a single posting instead of juggling multiple platforms.
- Controlling visibility: Choose whether a role is open to the public, restricted to internal employees, or accessible only by direct link.
- Automating candidate screening: Use custom questions with disqualifying Conditions to automatically flag or route candidates who don't meet key requirements.
- Saving time on descriptions: Generate a starting-point job description with AI based on the role's core details, then edit it to fit your needs.

Job Postings are part of our Applicant Tracking feature and are included in our HR Add-On.
Who can manage Job Postings?
- Super Administrators: Full access to create, edit, duplicate, and delete Job Postings. Also, full access to the Job Dashboard and Current Openings.
- Team Administrators: Can create, edit, duplicate, or delete Job Postings if the View, Update, and Create permissions are enabled under Applicant Tracking – Position-Based: Job Postings; and only for the Positions granted under Applicant Tracking Positions. Based on the permissions to Job Postings, this will also grant access to the Job Dashboard and Current Openings for those positions. If you are unable to access, please confirm your permissions with a Super Administrator.

Creating a Job Posting
Creating a Job Posting is the first step to advertising an open role and collecting applications through Push. Before you start, make sure the Position you're hiring for already exists under Employee Positions — if it doesn't, you'll need to create it first.
- Click the Applicant Tracking tab.
- On the left-hand navigation bar, click Job Dashboard.
- The page will load and list all existing Job Postings. Click Add New Job Postings.

Fill in the following fields:
Field How to Fill It Out Notes Title Enter what you wish to name the job posting. Think about what makes it easy for a candidate browsing to understand the role at a glance.
Consider including the role name along with a department, shift time, experience, or location (e.g. Server (Evening Shift) or Floor Manager (Bakery Department)).
Region Enter where this role will be located, if applicable Think about where you're hiring for this role. Is it remote, across a province, state, or country, or tied to a specific address?
If you're a multi-location business, consider including the exact address so candidates don't get confused about where the role is actually hiring.
Position Click the drop-down menu and select the appropriate Position.
Click Customize Position Name to input a public-facing name instead, if applicable.
Since Positions are based on what's already set up in your account and assigned to employees, Customize Position Name is a great option if you don't want to expose your internal position naming to candidates.
Some teams also use it to add extra context, such as experience level (e.g., Junior, Intermediate, or Senior)
Using a customized position name also affects any Message Templates, Offer Letter Templates, and Interview Templates associated with candidates who applied through a Job Posting with a custom name.
Salary Amount, Salary Type, Display a Range, & Plus Gratuities Under Salary Amount, enter the pay associated with the role.
Under Salary Type, click the drop-down menu and select Hourly, Salary, or One Time.
Salary Amount can be left blank, but we recommend including it, as postings with pay listed tend to bring in stronger applications from candidates who are genuinely interested in the role.
💡 We also recommend using Display a Range to widen your pool of qualified applicants.
💡 If this role earns tips, check Plus Gratuities to add "+ Gratuities" next to the listed pay in the posted description. A quick way to let candidates know tips are on top of the base rate.Employment Type Click the drop-down menu and select either Full Time or Part Time. You can only choose one option, so this can be left blank if it doesn't apply. If you're hiring for both full-time and part-time roles, we recommend selecting one and duplicating the posting to cover the other. This makes it easier to track how many candidates are applying for different employment types. - Choose how you'd like to add a Description to the job posting:

⚠️ | Important: If any of these fields are missing, an error message will appear, and the description won't generate. - Click Generate Job Description.
- The generated content loads directly into the description box, wrapped between two markers so it's easy to identify and edit before publishing:

- Review and edit the generated description as needed.
💡 | Tip: You can regenerate the description at any time by clicking Generate Job Description again; this will replace the previously generated content.

- Under Job Description, click the box and input the necessary information about the Job Posting (e.g. requirements, responsibilities).
- Review and format the content as needed.

Under Questions, check/uncheck the box(es) for the following, should these be included and required for the candidate to provide when applying:
Field Recommodation Resume We recommend including this and setting it to required, so candidates don't miss submitting one. Cover Letter This depends on your business; we recommend including it, but you can leave the required as unchecked (optional), so you can see which candidates go the extra step. Date Available We recommend including and setting it as required, so you can see which candidates can start within your timeline. This is especially useful if you're hiring urgently, for example, backfilling a role someone recently left, or hiring for seasonal work. If you're not in a rush to hire, you can leave these unchecked. Weekly Availability Include this if you're looking for specific hours. For example, evenings, mornings, or a minimum number of hours per week. The candidate will need to provide a breakdown of what days and hours they can work, Monday through Sunday.
This is a great option when hiring part-time workers. For full-time or salaried roles, you may leave this blank and include your hours of operation in the job description instead.

Under Custom Questions, fill in the following details for every question you wish to add:
Field How to Fill It Out Notes Required Check or uncheck the box. This makes it mandatory for the candidate to answer the question before submitting their application.
This is a great tool if you have some questions that you need answered and others that are optional.
For example, requiring candidates to confirm their years of experience, while leaving a portfolio link optional.
Question Enter the question you'd like to ask the applicant. This is the question posed to the candidate, so make sure it's clear about what you're asking for.
For example, "Do you have a valid food safety certificate?" or "Please share a link to your portfolio".
Placeholder Enter the text you'd like to appear inside the answer box. Many businesses use this to showcase the answer they're looking for or to provide instructions on how they want the question answered.
For example, for a short-answer question, the Placeholder could read "In 3–5 sentences, explain how you would greet a customer".
For a question like "Please share a link to your portfolio," the Placeholder could read "Please provide a public link to your LinkedIn profile."
This field must be filled in to save the question. If you're unsure what to put, you can simply copy your Question text into it.
Answer Type Click the drop-down menu and select either Checkbox, Drop-down List, Short Answer, Long Answer, True/False, Radio Button, or Number. See the Answer Type breakdown below step 9 for guidance on which to choose and how to fill in. Condition & Action Under Condition, click the drop-down menu and select Matches Any or Does Not Match if applicable.
When a Condition is selected, a field box appears to the right where you can input the answer to match. This should correspond to an answer option you provided for Checkbox, Dropdown List, True/False, Radio Button, or Number.
Under Action, click the drop-down menu and select Change Status To or Send An Email Containing, then use the field box to the right to choose the relevant Status or Email Template.Setting up a Condition and Action is optional; you don't need one for every question, but it's a great way to automate moving candidates to a specific status or sending them an email based on their answers.
It can help you reject candidates who aren't qualified or follow up with candidates who answer in a certain way.
For example, if you ask candidates whether they're currently certified using a Drop-down List and they answer Yes, you could set up an email to automatically request a copy of their certificate for verification, speeding up the hiring process without any manual intervention.
📌 | Note: You can only set up one Condition per question, so be strategic about which answer you build it around.

To add another question, click Add Another Question (+). To delete a custom question, click the X in Circle icon to the far right of the relevant question.
💡| Tip: Need to re-order your questions? Click and hold the icon to the left of each question, then drag and drop them into your preferred order.
Review this table if you need help building out a custom question for a specific Answer Type:Answer Type Description When to Use How to Customize Checkbox Allows candidates to select one or more options from a list you create. Drop-down List Allow candidates to select one option from a list you create. Use for multiple choice questions with one clear answer (e.g. "Are you legally authorized to work in Canada?"). Short Answer Offers a brief text box for concise responses. Ideal for quick, specific input (e.g., "What certifications do you hold?"). No customization needed, candidates will type a brief response in a small text box. Long Answer Provides an open text box for detailed responses. Use for open-ended questions where candidates can elaborate (e.g., "Describe a time you resolved a conflict with a customer."). No customization needed, candidates will type freely in a large text box. True/False A simple binary choice between true and false. Use for straightforward statements (e.g., "I am available to work weekends"). No customization needed, options are automatically set as True and False. Radio Button Allows candidates to select one option from a list you create, but displays all options at once rather than in a drop-down. Use when you want candidates to see all options up front rather than opening a drop-down (e.g., "Which shift are you applying for?"). Click the Enter Options field, type each answer choice, and press Enter on your keyboard to add it. Remove an option by clicking the X icon next to it. Number Provides a field for entering a numeric response. Use when you need a specific number from the candidate (e.g., "How many years of experience do you have in this role?"). No customization needed; candidates can either type a number manually or use the up and down arrows to select a positive or negative number. - Under Visibility, click the Radio button that corresponds with who can view and/or apply for this posting. You have the following options, and these can be changed at anytime:
- Visible Publicly: Anyone will be able to see this job posting and apply.
- Visible Internally: Only logged-in active employees and administrators will see this job posting and will be able to apply.
- Private: This job will not be visible on any job boards. Anyone provided with the direct link will be able to view and apply.
- If you need to update the status of the job posting, click the drop-down menu from the top right of the page and select either Draft, Published, Paused, Closed, or a custom status.
💡 | Tip: Once published, your posting becomes visible. If you want to review it before, click Show Preview from the Ellipses menu (⋯) in the top right, to preview exactly what applicants will see before you publish. - Once a status is chosen, click Save, and the page will refresh and list your new Job Posting!
Finding & Sharing a Published Job Posting
Once a Job Posting is published, you'll want to know where to find it and how to get it in front of candidates. This is where the Current Openings page comes in. It's your company's public job board in PUSH, listing all your published Job Postings together, exactly as a candidate would see them if they visited the page themselves (you don't need to be logged in to view it).
From there, you can share the link to the entire Current Openings page so candidates can browse all your open roles, or share the link to one specific Job Posting if you only want to point candidates to a single role.
💡 | Tip: Current Openings also reflects your Company's About Us, Logo, and Colours. If you'd like to update any of these, head to ATS Settings: Branding.
This section will guide you through the following:
Viewing Your Published Postings
Before sharing anything, it helps to see where your postings actually live and what they look like from the outside.
📌 | Note: The Current Openings page itself is public once shared or embedded somewhere, but candidates will not be able to access other parts of the PUSH platform.
- Click the Applicant Tracking tab.
- On the left-hand navigation bar, click Current Openings.
- Under Current Postings, you'll see a list of all your Published Job Postings.
- Click the Right Pointing Arrow icon next to a specific Job Posting to preview it from the applicant's perspective.
Sharing a Job Posting
Once you know where your postings live, you can decide whether to point candidates to everything you're hiring for or to just one specific role.
- To share all of your open roles at once, copy the Current Openings page URL and add it to your company's career page or wherever candidates should go to browse everything you're hiring for.
- To share one specific role, open that Job Posting and copy its unique URL instead. This can be added to your company's career page or shared, so candidates can be directed to that posting rather than the full list.
- If applicable, enable the QR Code option under ATS Settings > Branding so candidates can scan it when printed.
- If you have the LinkedIn or Indeed integration set up, your Job Postings will automatically sync to that platform as well. Candidates can apply directly there, and their applications will be synced back to the Candidate Dashboard.
📌 | Note: This sync happens automatically every few minutes, so there may be a short delay before a new or updated posting appears on LinkedIn or Indeed.
💡 | Tip: Having trouble locating a posting on LinkedIn or Indeed? Check directly with LinkedIn or Indeed first, since the delay or listing status may be on their end. If it still doesn't turn up, reach out to our Support Team.
Once a candidate submits their application, their profile will automatically appear under the Candidate Dashboard.
Editing or Duplicating a Job Posting
You may need to update a Job Posting's details over time, or duplicate an existing posting to save time when hiring for a similar role.
| ⚠️ | Important: Once a candidate completes an application for a Job Posting, the Custom Questions are locked and can no longer be edited or deleted. This ensures questions and their answers remain intact for every applicant for historical reasons. If you need to change the questions after someone has applied, we recommend duplicating the Job Posting instead. If no one has applied to a posting yet, you can still make changes to its questions freely. |
- Click the Applicant Tracking tab.
- On the left-hand navigation bar, click Job Dashboard.
- Under Job Postings, locate the posting you'd like to edit or duplicate. Use the Search box or the available Filters to narrow the list if needed.
- Under Actions, click the Pencil icon to edit the Job Posting, or the stacked paper icon to duplicate it.
- The page will load up the Job Posting builder.
- Adjust any of the fields as needed: Title, Region, Position, Salary Amount, Salary Type, Employment Type, description, Questions, Custom Questions, and/or Visibility — following the same steps as Creating a Job Posting above.
- If you need to update the status of the job posting, click the drop-down menu from the top right of the page and select either Draft, Published, Paused, Closed, or a custom status.
- Once a status is chosen, click Save, and the page will refresh and list your updated Job Posting!
📌 | Note: Duplicating a posting copies over all existing fields and questions, making it a quick way to post multiple similar roles across different Regions or teams.
Deleting a Job Posting
Deleting may be an option if you created a Job Posting that is no longer needed. We recommend keeping any Job Posting that has candidates tied to it; deleting the posting will not delete the candidates themselves, but it can be confusing down the line if you're trying to figure out what role a candidate applied for and it no longer exists. We also have a feature to transfer candidates to another position if applicable.
Instead of deleting, we recommend setting the posting's status to Closed or a custom status, and updating the Title to include something like "Do Not Use" or "Old," to ensure your team members do not accidentally republish it and keep it out of your active postings without losing the record.
⚠️ | Warning: Once a Job Posting is deleted, this cannot be undone.
- Click the Applicant Tracking tab.
- On the left-hand navigation bar, click Job Dashboard.
- Under Job Postings, locate the posting you'd like to edit or duplicate. Use the Search box or the available Filters to narrow the list if needed.
- Under Actions, click the Garbage Can icon that corresponds with the Job Posting.
- In the Delete Job Posting pop-up, click OK to proceed or Cancel to go back a step.
- If OK is selected, the page will refresh, and the job posting will no longer be listed.

Q: Do candidates need a PUSH account to view or apply to a Job Posting?
A: No. The Current Openings page and individual Job Postings are public (unless a job posting's visibility setting is set to internal or private). Candidates can browse and apply without logging in or creating an account.
Q: Should I share or embed the Current Openings page link or a specific Job Posting link?
A: It depends on what you want candidates to see. If you want candidates to browse everything you're currently hiring for in one place, for example, embedding a "View All Openings" link on your Careers page, use the Current Openings page link. If you want to point candidates directly to a single role, for example, in a social media post about one specific opening, share that Job Posting's link instead.
Q: Who can access Current Openings within PUSH?
A: Only Super Administrators and Team Administrators with the appropriate permissions can log into PUSH and access the Current Openings page to manage or preview postings.
This is separate from the public Current Openings page that candidates see. This version doesn't require logging in to PUSH at all, and anyone with the link can view it if it's shared with them. Public visitors won't have access to any other part of the platform, such as the Employees tab or other internal pages.
Q: How long does it take for a Job Posting to appear on LinkedIn or Indeed after I publish it?
A: If you have the LinkedIn or Indeed integration set up, your Job Posting syncs automatically every few minutes, so there may be a short delay before it appears.
Q: Why can't I find my Job Posting on LinkedIn or Indeed?
A: The integration does sync every few minutes. If you are still having trouble locating the job posting, please first check directly with a representative from LinkedIn or Indeed, since the delay or listing status may be on their end. If it still isn't showing up after that, reach out to our Support Team.
Q: What's the difference between Visible Publicly, Visible Internally, and Private for a Job Posting?
A: Visible Publicly means anyone viewing the Job Dashboard can see and apply to the posting.
Visible Internally restricts visibility to logged-in employees and administrators, which is useful for internal hiring.
Private hides the posting from all job boards, though anyone with the direct link can still view and apply. For more details, refer to the Creating a Job Posting section of this article.
Q: Why can't I see the Generate Job Description button?
A: This feature is being rolled out in phases and may not yet be enabled on your account. Contact our Support Team for early access, or reach out to your assigned Product Manager for rollout updates.
Q: Why am I getting an error when I try to generate a job description?
A: The Generate Job Description button requires the Title, Region, Salary Type, and Employment Type fields to be filled in first. If any of these are missing, an error message will appear. Fill in the required fields and try again.
Q: Will generating a description with AI overwrite what I've already written?
A: Yes. Clicking Generate Job Description loads the generated content directly into the description field, replacing what's currently there. The generated text is wrapped between clear markers so you can identify and edit it before publishing.
Q: Can I still create Custom Questions if I use the AI-generated description?
A: Yes. The description and Custom Questions are independent parts of a Job Posting. You can use the AI generator for your description and still add, edit, or remove Custom Questions as usual.
Q: Why can't I edit or delete a question on my Job Posting?
A: Once a candidate has completed an application for a Job Posting, the Custom Questions are locked so that questions and their answers remain intact. If you need to make changes to the questions, we recommend duplicating the Job Posting instead. If no one has applied yet, you can still edit or delete questions freely.
Q: What happens if I delete a Job Posting by mistake?
A: Deleting a Job Posting is permanent and cannot be recovered. If you're unsure whether you'll need a posting again, consider setting its status to Closed instead of deleting it.
