How To Send and View ATS Messages To Candidates

Process:

How to create a message for a specific Candidate:

  1. Click the Applicant Tracking tab.
  2. On the left-hand navigation bar, click Candidate Dashboard.
  3. Under Candidate, click the name of the specific application you wish to send a message to. 
  4. The page will open to the Candidate's profile.
  5. On the right-hand side, click Messages.
  6. Click New Messages.
  7. Under From, this will auto-fill to your user. To update the sender to be from the Company, click the drop-down and select the Company name.
    📌 | Note:  Messages sent through the Candidate Dashboard do not reveal the email address associated with your account. Candidates will receive the message from a system-generated address (e.g., application+LV25Nc13JK@pushoperations.net), ensuring your personal email remains private.
  8. Under To, this will auto-fill to the candidate. 
  9. Under Template, click the drop-down menu to assign a Template or leave blank.
  10. If a Template was selected, the Subject and content box will auto-populate details based on the chosen Template.
    💡 | Tip: Using templates helps standardize communication and ensures candidate details (such as their name) are automatically embedded when applicable.
  11. If no Template was selected, the Subject and content box will remain blank, and you can customize what you would like to input.
  12. Once ready, click Send, and the page will automatically refresh and show a record of the message. In addition, a pop-up at the bottom titled "Message Successfully Sent" will appear to confirm it was sent to the candidate. 

 

How to send a message in bulk to a group of Candidates:

  1. Click the Applicant Tracking tab.
  2. On the left-hand navigation bar, click Candidate Dashboard.
  3. To the left of the Actions column, check the box(es) next to the appropriate candidates.
  4. Once the Candidates are chosen, on the right-hand side, click Send Message.
  5. A pop-up titled "Send Message to X Candidates" will appear. 
  6. Under From, click the drop-down and select either the Company name or your Own name as the sender.
    📌 | Note: Messages sent through the Candidate Dashboard do not reveal the email address associated with your account. Candidates will receive the message from a system-generated address (e.g., application+LV25Nc13JK@pushoperations.net), ensuring your personal email remains private.
  7. Under Template, click the drop-down menu to assign a Message Template, or leave this field blank if you prefer to compose the message manually.
  8. Under Subject, if a template is selected, the subject line will auto-populate. If no template is selected, enter your subject line manually. 
  9. In the message body, if a template is selected, the content will auto-populate. You can edit the content as needed or compose a message from scratch. 
    💡 | Tip: Using templates helps standardize communication and ensures candidate details (such as their name) are automatically embedded when applicable.
    ⚠️ Important: Email attachments cannot be included in bulk messages. If attachments are required, open the individual candidate’s profile and send the message directly from there.
  10. When your message is ready, click Send, and the page will automatically refresh and show a pop-up titled "Message  Sent". 
  11. From this pop-up, you can update the Candidate Status by selecting a new option from the drop-down and adding a reason if needed. Once done, click Update Status. If you don’t want to change the status of the candidate, click Skip Status Update to continue.

 

How to review a message sent or received:

  1. Click the Applicant Tracking tab.
  2. On the left-hand navigation bar, click Candidate Dashboard.
  3. To open a Candidate's profile, under Actions, click the Arrow and Box Icon that corresponds with the Candidate.
  4. On the right-hand side, select the Messages tab.
  5. Under View, click the Eye icon to review the sent/received message.
  6. Once done and ready to close out, click Confirm.
  7. Under From, it will list who sent the message.
  8. Under To, it will list who received the message.
  9. Under Subject, it will list the subject line.
  10. Under Date, it will list when the message was sent or received.

Additional Information

The Candidate Dashboard includes built-in messaging functionality that allows administrators to send and receive emails directly within the platform. This keeps all candidate communication centralized and accessible to your hiring team.

When a message is sent from within Applicant Tracking, the conversation thread is stored in the candidate’s profile under the Messages tab. This allows administrators to view past communications, track follow-ups, and maintain visibility across the hiring process.

If you select your own name under the From field:

  • A copy of the email will be sent to the email address associated with your admin account. 
  • You can continue the conversation directly from your personal inbox (e.g., Gmail or Outlook) by replying within that same email thread. 
  • All replies will automatically sync back to the candidate’s profile in Push.

This allows you to manage responses from your regular email inbox while still maintaining complete documentation within the platform.

Candidates receive messages from a unique system-generated “Push Application” address (e.g., application+LV25Nc13JK@pushoperations.net). Replying to that email ensures the full conversation thread is captured and stored within the candidate’s profile.

Please note that only Super Administrators and Team Administrators with permissions to the Candidate Dashboard will be able to send and review messages to Candidates.
