How To Automatically Assign Shifts Using Auto-Scheduling With Labour Guides [Beta]

Goal

  • How to get the system to assign shifts to employees automatically

Environment:

  • Push Web App

Process:

  1. Click the Scheduler tab
  2. On the left-hand navigation bar, click Weekly Schedule
  3. Click the Right or Left facing Arrows to move to the relevant week
  4. Your Schedule should already be built out using the Auto-Generate House Shifts feature
  5. On the right side, click Options and in the drop-down menu, click Auto Scheduling 
  6. In the Auto Schedule pop-up, check/uncheck the boxes that are relevant to the Auto Scheduling Settings:
  7. Once done, click Assign 

Additional Information

This is the final step of utilizing Auto Scheduling with Labour Guides, by allowing the system to automatically assign the created shifts based on the setup of Labour Guides and Schedule Presets.

Prior to the system assigning shifts, you will have the option to turn on/off the following Auto Scheduling Settings:

  • Automatically Schedule House Shifts: The system will automatically assign House Shifts to employees in the Schedule that have been created
  • Automatically schedule already assigned shifts: The system will reschedule all previously assigned shifts in accordance with Priority and Preferred employees. If a schedule is copied to next week and a Priority Employee is now away/unavailable, the system will reschedule the relevant shifts 
  • Allow employees to work more than one shift per day: The system will have the option to assign more than one shift in a day for an employee (i.e. If there are Scheduled Presets that are 4 hours each, can an employee be assigned two shifts in one day)
  • Observe employees' desired number of shifts per week: The system will accommodate employees' desired number of shifts per week based on their availability before assigning a shift
  • Observe employee's time off requests: The system will accommodate employees' time off requests before assigning a shift
  • Observe employee's availabilities: The system will accommodate employee's weekly availability before assigning a shift

We recommend that Managers review any pending requests under Shift Approvals: Weekly Availability and Time Off Requests prior to running Auto Scheduling. This will ensure that Auto Scheduling has rules to abide by when the system begins assigning shifts. 

Please note that only Super Administrators or Team Administrators with permission to View/Update the Scheduler by Position(s) will be able to make changes. 

The Auto Scheduling feature is currently available on the Premium Subscription.
