How To Assign Priority & Preferred Employees In Schedule Presets (Auto-Scheduling With Labour Guides) [Beta]

Goal

  • How to make sure the system auto-assigns shifts to specific employees 

Environment:

  • Push Web App

Process:

Create a new Schedule Preset

  1. Click the Scheduler tab
  2. On the left-hand navigation bar, click Schedule Presets 
  3. Click Add Schedule Preset
  4. Under Label, click the box and input the title of the Preset
  5. Under Position, click the box and select the specific Position(s) that the Preset is available
  6. Under Days Available, check/uncheck the boxes that correspond with either Sunday, Monday, Tuesday, Wednesday, Thursday, Friday, or Saturday of when the Preset is available
  7. Under Base Cost, click the box and input the dollar amount associated with the Preset
  8. Under Qualified Group A, click the drop-down menu and select the specific Employee that will be given first priority if available
  9. Under Qualified Group B, click the box and select the other Employee(s) that will be given second priority if available or click Select All to assign every Employee with the same Position assigned under Step 5 
  10. Under Automated Schedule Required Shift, check the box to make it Required or uncheck the box to make it Optional
  11. Under Start Time, set the following:
    1. Under HR, click the drop-down menu and select from 1-12
    2. Under 00, click the drop-down menu and select from 00-59
    3. Under AM, click the drop-down menu and select either AM or PM
  12. Under End Time, set the following:
    1. Under HR, click the drop-down menu and select from 1-12
    2. Under 00, click the drop-down menu and select from 00-59
    3. Under AM, click the drop-down menu and select either AM or PM
  13. Once done, click Add Preset

Update an existing Schedule Preset

  1. Click the Scheduler tab
  2. On the left-hand navigation bar, click Schedule Presets 
  3. Under Edit, click the Pencil icon that corresponds with the specific Schedule Preset
  4. Under Label, click the box and update the title of the Preset if applicable
  5. Under Position, click the box and update the specific Position that the Preset is available if applicable
  6. Under Days Available, check/uncheck the boxes that correspond with either Sunday, Monday, Tuesday, Wednesday, Thursday, Friday, or Saturday of when the Preset is available if applicable
  7. Under Base Cost, click the box and update the dollar amount associated with the Preset if applicable
  8. Under Qualified Group A, click the drop-down menu and update the specific Employee that will be given first priority if available; if applicable
  9. Under Qualified Group B, click the box and update the other Employee(s) that will be given second priority if available or click Select All to assign every Employee with the same Position assigned under Step 5 if applicable
  10. Under Automated Schedule Required Shift, check the box to make it Required or uncheck the box to make it Optional
  11. Under Start Time, update the following if applicable:
    1. Under HR, click the drop-down menu and select from 1-12
    2. Under 00, click the drop-down menu and select from 00-59
    3. Under AM, click the drop-down menu and select either AM or PM
  12. Under End Time, update the following if applicable:
    1. Under HR, click the drop-down menu and select from 1-12
    2. Under 00, click the drop-down menu and select from 00-59
    3. Under AM, click the drop-down menu and select either AM or PM
  13. Once done, click Update Preset

Additional Information

The second step of setting up Auto Scheduling with Labour Guides is updating or creating Schedule Presets and assigning which employees will be given first or second priority to the shifts that are automatically created.

Qualified Group A: The shift will always be given to this employee if it meets their weekly availability. Note you can only assign one Employee as first priority, per Schedule Preset.

Qualified Group B: If the Qualified Group A Employee is not assigned the shift, these employee(s) will be given the shift if it meets their weekly availability. Note that you can assign as many Qualified Group B Employees to a Schedule Preset.

Assigning Employees to either the Qualified Group A or B is not required. You may choose to leave these or one of them blank if needed. If these are not assigned to Schedule Presets, the system will look strictly at employees' availability and values set up under Labour Guides.

You may want to assign an Employee to one of the Qualified Groups if you have someone with seniority over other team members when it comes to shifts. 

We recommend that Managers review any pending requests under Shift Approvals: Weekly Availability and Time Off Requests prior to running Auto Scheduling. This will ensure that when the system begins creating and assigning shifts, Auto Scheduling has rules to abide by. 

Please note that only Super Administrators or Team Administrators with permission to View/Update the Scheduler by Position(s) will be able to make changes. 

The Auto Scheduling feature is currently available on the Premium Subscription.
