How to Update and Mass Assign T4 Dental Insurance Information

Purpose

This article explains how to correctly indicate employees’ dental insurance coverage on T4s using Box 45, as the CRA requires. Accurate submission ensures compliance with government reporting standards.

When and Why Box 45 Needs to Be Completed:

The CRA uses Box 45 to determine whether employees qualify for additional dental coverage benefits under federal programs. Box 45 must be completed for all employees, regardless of coverage status.

  • Eligible: Employees covered under employer-provided dental plans.
  • Not Eligible: Employees without dental coverage through their employer or covered through external insurance.

Process:

  1. Click the Payroll tab.
  2. Click the link under the T4 banner or on the left-hand Navigation bar, click Employee T4 Info Update.
  3. Under Employee T4 Info (Year), you will see a list of all relevant employees.
  4. To filter the list, you will see the following options on the right side, if applicable:
    1. To adjust which employees appear by employment status, click the drop-down menu associated with Status, and you can choose from All, Active, Pending, Inactive, or On Leave.
    2. To adjust the list of employees by pay frequency, click the drop-down menu associated with Payment Frequency and choose from All Payment Frequencies, Hourly, or Salary.
    3. To review only one employee, use the Search box and enter the team member's name.
    4. Once done, you can click Search to apply the changes, if applicable. 
  5. To adjust how many employees appear in the list, click the drop-down menu associated with Per Page and select either 20, 40, or 60 if applicable.
  6. If you wish to hide employees who are already assigned an answer, click the box that corresponds to Hide Employees With Answer if applicable.
  7. Under Answer, click the drop-down menu and select one of the following for each employee or directly above this select Assign Answers For All (This Page Only)
    • 1 - Not eligible to access any dental insurance 
    • 2 - Payee Only 
    • 3 - Payee, spouse, and dependent children 
    • 4 - Payee and their spouse 
    • 5 - Payee and their dependent children 
  8. Once done, scroll to the bottom and click Save This Page.
  9. In the pop-up, click Success
  10. The page will refresh, and the relevant Answer will be assigned to the employee(s).Dental Box .gif

Please note that Super Administrators and Team Administrators with the permission to Run Payroll will be able to make changes.
