How To Build The Schedule Using Auto Scheduling

Goal

  • How to tell the system what shifts to assign to employees automatically

Environment:

  • Push Web App

Process:

  1. Click the Scheduler tab
  2. On the left hand navigation bar, click Weekly Schedule 
  3. To adjust how you view the Scheduler, click the drop-down menu associated with Employees, and select either: EmployeesEmployees Unique, Positions, or Daily if applicable
  4. Under House Shifts, hover over a specific day and click the Plus icon
  5. Under Positions, click the drop-down menu to select the relevant Position
  6. Under Employees, click the drop-down menu and select House Shift
  7. Under Tag, click the drop-down menu and select the specific Tag if applicable 
  8. Under Presets, click the drop-down menu and select the specific Preset
  9. Click 12:00 AM - 12:00 AM and adjust the specific Start and End Times if applicable 
  10. Under Comments, input any necessary information relating to the shift if applicable 
  11. Once done, click Confirm
  12. Continue Steps 4-10 and build our the Schedule or copy and paste the relevant shifts

Additional Information

The second step of setting up Auto Scheduling is creating your ideal Schedule using House Shifts and assigning the relevant Schedule Presets.

House Shifts: Shifts that are created in the Scheduler that have a Start/End Time and Position assigned, but no Employees assigned. Commonly these are created for employees to pick up extra shifts for coverage. 

Auto Scheduling is dependent on Schedule Presets and House Shifts. House Shifts must be created in order for the system to understand what shifts need to be assigned to employees. 

We recommend that Managers review any pending requests under Shift Approvals: Weekly Availability and Time Off Requests prior to running Auto Scheduling. This will ensure that when the system begins assigning shifts, Auto Scheduling has rules to abide by. 

Please note, only Super Administrators or Team Administrators with permission to View/Update the Scheduler by Position(s) will be able to make changes. 

The Auto Scheduling feature is currently available on the Premium Subscription.
