Leave Balances Now Reset in Real Time 

Leave Management just got easier to trust. Time-off balances now reset automatically on the policy’s reset date, without waiting for payroll to be processed.

Previously, balances tied to a reset wouldn’t update until a payroll that included the reset date was run. For example, if a policy reset on January 1 but payroll wasn’t processed until January 10, employees could appear to have no available time off during that gap.

With this enhancement, leave balances reset exactly when the policy resets, making time off available sooner and removing uncertainty around when balances should update. 

📌 Note:  Real-time leave balance resets are currently available only for accounts using a single payrun cycle. Accounts with multiple payrun cycles will continue to follow the existing workflow, where balances reset after payroll is processed.

📌 Note: Employee paystubs and payroll reports continue to reflect balances as of the most recently processed payrun. 

 

Real-Time Balance Updates When Time Off Is Requested

Real-time balances don’t stop at resets. When employees submit time-off requests, balances are now updated immediately to reflect the requested changes.

For example, if an employee has 3 days available and submits a request for 1 day, their balance will automatically adjust to show 2 days available, with 1 day pending approval.

Once the request is approved, the balance remains at 2 days available, and the pending amount is cleared, making it easy to see what time off is still available for future requests at a glance.

Employees and administrators see the same real-time balances across web and mobile, making it easy to understand exactly how much time off is available, pending, or already approved at any moment.

📌 Note: Employee paystubs and payroll reports continue to reflect balances as of the most recently processed payrun. 

 

New Option to Prevent Negative Leave Balances From Carrying Over

You now have the option to prevent negative time-off balances from carrying over when a leave policy resets. This allows teams that prefer a clean slate at the start of a new policy period to reset balances without carrying forward any negative amounts.

This setting is available when creating or editing a leave policy through the Negative Balance Do Not Carry Forward toggle and is turned off by default. If enabled, a warning will appear to clarify that this approach isn’t typically recommended, as any negative balance will be cleared at reset, and employees won’t be required to accrue back the time they previously took in advance.

 

New Reminder for Upcoming Leave Management Policy Resets

Staying on top of balance resets just got easier. Leave Management now shows reminders for any fixed-date policies scheduled to reset between now and the end of next month, helping your team prepare before balances renew.

You’ll see a banner when running payroll and a Reset label on the main Leave Management page for any policies approaching their reset date. When you dismiss the banner, it disappears for you only; your teammates will continue to see it until they acknowledge it themselves.

Once the reset date passes, the reminder will automatically disappear and reappear in future years when the policy is eligible for a reset.

📌 | Note: Reminders are shown only for policies with fixed reset dates. Policies that reset on variable dates (like hire date) aren’t part of this feature. The banner is informational only and does not block payroll.

 

Enhancement to the Main Leave Management Page

The Leave Management home page now features a cleaner, tabular layout, providing admins with a quick, at-a-glance view of all existing policies. You can now view key details, such as Reset Date, Carry Forward rules, Starting Balance, and Total Assigned Employees, directly in the main list view, without needing to click into each policy.

This update streamlines your workflow and makes comparing or reviewing policies much faster. No functionality has changed—just a smarter layout to help you work more efficiently.

 

New Option to Transfer Employee Balances Between Locations

Moving employees between locations just got easier. You can now transfer an employee’s entire leave balance, including accrual history, from one company account to another within the same organization.

There’s no need to manually zero out balances, as the system will do it for you as part of the transfer. To ensure accuracy, only employees with matching policies and SIN/SSN across locations will appear as eligible, and the system will flag any employees or policies that don’t meet the criteria.

This update helps maintain clean records, eliminates the need for manual adjustments, and makes transitions between locations smoother than ever.

 

Time Off Requests Now on Mobile (Manager App)

Approving time off just got more mobile-friendly! Admins can now review and approve Leave Management–based time-off requests right from the Manager App, not just the web.

The new Time Off Requests tab shows who’s requesting time off, the dates and hours, the policy it falls under, and any overlapping requests. Employees continue to receive notifications for both approvals and rejections.

📌 | Note: Only time off requests tied to Leave Management appear in the Manager App. Requests outside of Leave Management remain web-only under Shift Approvals.

 

 New Accrual Method Option for Flat Rate Accrual

Tracking time-off accruals just got another option. The new Flat Rate method lets you award a fixed number of hours off for every set number of hours worked—no percentages, just consistent, rule-based accruals that are easy to understand and apply.

For example, you can set up rules like 1.54 hours earned every 80 hours worked or 0.5 hours every 20 hours worked. Multiple tiers can be added to reflect accrual growth over time, giving your team a clear and predictable path to earning time off.

Flat Rate is one of three available accrual types when creating a time-off policy. Once saved, it’s locked in—so make sure every tier includes both “earned” and “worked” values before saving.

 

New Minimum Advanced Notice Setting

Time-off requests just got more flexible to manage. With the new Minimum Advance Notice setting in Leave Management, you can now define how many days’ notice an employee must give before taking time off, on a per-policy basis.

This means you can set different notice periods for different types of time off. For example, you might require two weeks’ notice for vacations, but no advance notice for sick days. It’s a simple way to align time-off behaviour with your team’s scheduling needs, while still keeping things fair and transparent for employees.

📌 | Note: If you previously used the Minimum Advance Notice toggle in Scheduler Settings, that value has been automatically transferred to each of your policies to maintain your existing rules.

 

New Option To Prorate a Starting Balance

Ever had to manually adjust a new hire’s time off balance because they joined partway through the year? Now there’s a better way. With the new Prorated Starting Balance option, time off is automatically scaled based on when an employee joins the business.

For example, if your policy grants 5 sick days per year as a starting balance, someone starting on January 1 would receive all 5 days right away. But if they start on November 1, they’ll get just a fraction of that—automatically prorated based on how much of the year is left.

You can still choose No Starting Balance (everyone starts from zero) or Fixed Starting Balance (everyone gets the full amount), depending on what works best for your policy.

📌 | Note: If you change an existing policy from Fixed to Prorated, this won’t update current employee balances; proration will only apply to new employees added after the change.

 

Time Off Payouts Now Use the Latest Pay Rate

Leave requests just got more accurate. Previously, time off payouts were based on the employee’s rate at the time of approval, even if their pay changed before the leave occurred, leading to potential payroll discrepancies.

Now, the Earning/Deduction (E/D) entries are calculated dynamically based on the employee’s latest rate at the time of payroll; ensuring the payout always reflects their current compensation.

When reviewing the auto-generated entry for an approved leave request, the Amount will now display as “Calculated During Payroll” until payroll is processed. At that point, the final dollar amount will be automatically updated for reporting purposes. 

 

See Time-Off Types Directly in the Scheduler

Shift planning with Leave Management just got smarter. Instead of showing a general “Away,” the Scheduler now displays the exact type of approved time off—whether it’s vacation, sick time, or any custom leave type you’ve created.

This added clarity helps managers plan shifts with confidence and manage coverage without leaving the Scheduler.
