Environment:

Process:
Vacation Balance Adjustment in an Upcoming Payroll:
- Click the Payroll tab
- Click Earnings/Deductions on the left hand navigation bar
- Under the Preset dropdown menu, select Vacation Balance Adjustment
- Under the Frequency dropdown menu, select One Time
- For the Date, select the upcoming or future payroll run
- Next, under the Employee Information Box select the name of the Employee
- Enter a negative amount if you wish to deduct from the employees vacation balance or enter a positive amount if you wish to add to the employees vacation balance
- If you have other employees to add for the same preset, click Add Row
- Once complete, click Add Earnings/Deductions to submit the Vacation Balance Adjustment
Vacation Balance Adjustment in an Off Run:
- Click the Payroll tab.
- On the left-hand side, click Run-Off Run
- Click Add A New Off Run.
- Select the Start Date, End Date, and Pay Date.
- From the Employees List, select the specific employee(s) by checking the box to the left of the employee's name.
- Once done, click Add Off Run at the bottom of the page.
- The page will refresh, on the right-hand side, look for the Employees Column and click the Coin Stack
- Under the Preset dropdown menu, select Vacation Balance Adjustment
- The Frequency auto-populates to One Time and the Date auto-populates to the date selected
- In the Employee Information: Earnings/Deductions, the Employee's name and Position is auto-populated
- Enter a negative amount if you wish to deduct from the employees vacation balance or enter a positive amount if you wish to add to the employees vacation balance
- Once complete, click Add Earnings/Deductions to submit the Vacation Balance Adjustment
- The page will refresh, repeat steps 8-13 if you need to add in other Presets for the same employee
- Once completely finished, scroll to the top and on the left hand Navigation bar, click Run Off Run
- If there are other employees in the Off Run, click the Coin Stack icon that corresponds with the next employee and repeat steps 8-13
- Under Actions, click the Play Button icon that corresponds with the current Off Run.
- Click View/Approve Pay Run to review the Off-Run, if it looks good, click Approve Payroll
Additional Information
To adjust a vacation balance in the system in an upcoming payroll, you can use the Vacation Balance Adjustment preset in the Earnings and Deductions section.
To adjust a vacation balance in the system immediately, you can use the Vacation Balance Adjustment preset in an Off Run.
- Example: If you wish to deduct $500 from an employees vacation balance of $1000, you would input -500 under Amount.
- Example: If you wish to add $500 to an employees vacation balance of $1000, you would input 500 under Amount.
If your account has Balances Setup with Leave Management, please follow the steps above but use the Preset that is attached to the specific balance (i.e. Sick Day Adjustment).
Please note, that only Super Administrators and Team Administrators with permissions to Run Payroll or Set up Earnings and Deductions will be able to adjust a vacation balance.
