Environment:

Process:
Deactivate employee with no ROE:
- Click the Employees tab
- On the left-hand navigation bar, click Active Employee List
- Under Search, input the employee's name
- Under Edit, click on the Circle Arrow icon that corresponds with the employee
- In the Deactivate Employee pop-up, click Yes
- Under Status, click the drop-down menu and select either Terminate or Temporary Leave
- Under Termination/Temporary Leave Date, input the appropriate date
- Under Reason, click the drop-down menu to select the specific Reason
- Under Transfer Remaining Shifts to House Shifts, check/uncheck the box if applicable
- If Checked, any scheduled shifts assigned to the employee will be updated to House Shifts for other employees to pick up from the Release Pool (if published)
- If Unchecked, any scheduled shifts assigned to the employee will be removed from the scheduler
- Under Deactivate Administrator, check/uncheck the box if applicable
- If Checked, the linked Administrator Profile will be deactivated to the Inactive Administrators page
- If Unchecked, the linked Administraor Profile will remain active
- Under Create ROE, uncheck the Checkbox to not issue an ROE
- Once done, click Submit
Deactivate employee with a ROE:
- Click the Employees tab
- On the left-hand navigation bar, click Active Employee List
- Under Search, input the employee's name
- Under Edit, click on the Circle Arrow icon that corresponds with the employee
- In the pop-up, click Yes
- Under Status, click the drop-down menu and select either Terminate or Temporary Leave
- Under Termination/Temporary Leave Date, input the appropriate date
- Under Reason, click the drop-down menu to select the specific Reason
- Under Transfer Remaining Shifts to House Shifts, check/uncheck the box if applicable
- If checked, any scheduled shifts assigned to the employee will be updated to House Shifts for other employees to pick up from the Release Pool (if published)
- If unchecked, any scheduled shifts assigned to the employee will be removed from the scheduler
- Under Deactivate Administrator, check/uncheck the box if applicable
- If checked, the linked Administrator Profile will be deactivated to the Inactive Administrators page and will no longer have access
- If unchecked, the linked Administraor Profile will remain active with access
- Under Create ROE, click the Checkbox to issue an ROE
- Under First Date Worked, this is auto-populated based on the profile
- Under Last Date Worked, input the appropriate date
- Under ROE Issue Reason, click the drop-down menu and select the specific reason code
- Under Will Employee Return, click the drop-down menu and select either: Unknown, Yes, or No
- Under Internal Company Notes, input any necessary information if applicable
- Once done, click Submit
Additional Information
Do not deactivate employees who have not been paid their last pay cheque. If they get removed, they will not be paid on regular payroll. Once an employee has been paid their last cheque, you can then deactivate them.
If you select Terminate, this will move the employee to the Inactive Employee List.
If you select Temporary Leave, this will move the employee to the On Leave Employee List.
We recommend checking transfer remaining shifts to house shifts if you wish to have other employees cover the shifts scheduled. Otherwise, these shifts will be deleted once you have deactivated the employee.
In Push, your subscription is calculated by the number of seats you have in your account. On Leave and Inactive employees do not count as a seat. Only Active and Pending employees will take up seats once they have been added to Push, but it is possible to have empty seats if employees have been deactivated or not added yet.
Please note that only Super Administrators and Team Admins with the permission to Deactivate Employees will be able to deactivate an employee
